JOB TITLE: Accounts Payable/Accounting Assistant                     

REPORTS TO: Accounting Manager                                                                CLASSIFICATION: Non-Exempt         

DEPARTMENT: Accounting                                                                              LEVEL: Administrative

 

SUMMARY OF POSITION: The Accounts Payable/Accounting Assistant is responsible for managing accounts payable, accounts receivable, cash reconciliations, purchasing credit cards, and journal entries for a fast-paced, multi-company medium sized family business.  The ideal candidate must be able to communicate effectively, possess analytical and problem-solving skills, strong organizational skills and be detail oriented.  

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Review, obtain approval, allocate (multi-company), general ledger coding, and input a high volume of accounts payable invoices
  •  Process bi-monthly check runs, including printing checks, matching checks and back-up, mailing payments to vendors; and filing payments
  •  Review, reconcile, code and input employee expense reports and credit card accounts
  • Manage the accounts receivables including entering invoices, billing customers (email invoices), and proactively follow-up on aged invoices
  • Research vendor, customer, and employee inquires and resolve in a timely manner
  • Quarterly review accounts receivable and accounts payable aging reports and resolve aged items
  • Download daily cash reports from POS systems, reconcile cash receipts including: cash, credit cards, gift cards, and third-party income with bank transactions
  • Assist the Accounting Manager with entering journal entries, preparing bank reconciliations, and year-end audit schedules
  • Provide management with reports, data, and analysis request for month end close and annual audit
  • Takes ownership of additional projects in order to advance the goals of the accounting department
  • General office duties including filing and scanning of invoices, corresponding via email and answering
  • Perform other tasks, as assigned

JOB REQUIREMENTS

  • Thorough knowledge of accounts payable, including familiarity with the general ledger and financial chart of accounts.
  • QuickBooks experience required.
  • Intermediate to advanced computer skills in Microsoft Office and Excel.
  • Excellent attention to detail.
  • Strong organizational ability and data entry skills including 10-key (typing speed: 50 wpm).
  • Effective verbal and written communication skills.
  • Must be able to work as a team member.
  • Ability to work independently and provide information in a timely manner.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Must be able to thrive in a fast-paced environment and successfully manage multiple projects with ever-shifting priorities.


EDUCATION AND EXPERIENCE

  •  Associate degree in a related filed or equivalent experience; including completion of basic accounting classes.
  •  3+ years' experience in similar role within a retail, restaurant, or multi-unit environment.

 

WORKING ENVIRONMENT/MINIMUM PHYSICAL REQUIREMENTS

  • Minimum age of 18 years.
  •  Full-time position: the position may require weekends and evening work.
  •  Ability to sit, stand or walk for long period of time.
  • Ability to push and pull up to 30 pounds.
  • Must be able to lift up to 40 pounds at times.
