Position Summary:

The Payroll/Accounting Coordinator will process bi-weekly payroll, (400+employees), maintain employee time records, perform routine clerical, filing, and data entry tasks for accounting data including general ledger, accounts payable, billing, and receivables.

Essential Duties and Responsibilities:

Payroll Functions:

  • Prepare and process bi-weekly payroll using ADP Workforce Now in accordance with the agency's accounting policies and procedures.
  • Assist employees with set-up and troubleshooting of Time and Attendance and Time Off modules.
  • Maintain all payroll reports including tax and census filings.
  • Resolve all payroll questions in a timely manner, and work with Human Resources to ensure accuracy of employee payroll information.
  • Maintain files for UCT-6 (Unemployment) and Form 941 (Federal Payroll Tax) forms.
  • Assist in pulling documents and preparing reports for all Arc audits including year-end financial audits of The Arc and Bodwell Academy in addition to all Funder and other audits.
  • Other duties and responsibilities as assigned.

Accounting Functions:

  • Make bi-weekly entries in MIP for payroll GL import file.
  • Make monthly entries in MIP to allocate health insurance premiums by employee.
  • Make monthly entries in MIP for mileage, cell phone, and employee reimbursements.
  • Record Workers Comp entries in MIP on a bi-weekly basis, following the payroll schedule.
  • Reconciliation of payroll and FSA bank recs.
  • Assist in general ledger and bank account reconciliations.
  • Other duties and responsibilities as assigned.

Knowledge, Skills and Abilities:
  • Extensive knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Proficient with Microsoft Office Suite.
  • Proficient with payroll software.
  • Excellent verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to act with integrity, professionalism, and confidentiality.
Education and Experience Requirements:
  • AS Degree or College Credit Certificate in Accounting or 2 years of recent payroll and accounts payable experience.
  • Working knowledge of ADP Workforce Now Payroll system strongly preferred; Intermediate or higher proficiency in Microsoft Word and Microsoft Excel required.
  • MIP Fund Accounting experience preferred (not required).
  • Must possess and maintain a current Florida’s Driver’s License and state minimum requirements for auto insurance.

Physical Requirements/Working Conditions:
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Must be able to remain in a stationary position 50% of the time.
  • Constantly operates a computer and other office productivity equipment/machinery such as copy machines, printers etc.
  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • The ability to observe, identify, and recognize details at close and long range.
  • Frequently moves boxes weighing up to 30 pounds across office for various needs.
