Overview:

Western Michigan University Homer Stryker M.D. School of Medicine is seeking a Accounting Specialist, Accounts Payable and Purchasing. Responsible for providing all activities necessary to process invoices/checks, and other business expenses through the accounts payable/cash disbursement system for payment of approved expenditures. Will process, place and completes purchase orders that meet the organizations policies and guidelines. Responsible for banking functions as assigned. Responsible to cover other accounting functions, such as receiving and handling all incoming packages, on an as needed basis.



Responsibilities:
  • Reviews invoices and supporting documentation for proper approval for payment.
  • Investigate discrepancies by effectively communicating with vendors and others outside the department.
  • Assigns accounts numbers to all items to be processed through the accounts payable system.
  • Issue, process and place purchase orders that meet policies and guidelines.
  • Process, place and complete orders for non-stock office, medical or other supplies as assigned.
  • Provide administrative support to the Director of Accounting & Controller as needed.
  • Provide coverage for the receiving docks as needed.
  • Perform various ad hoc reports
  • Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
  • Acquires knowledge for new technology and policy/procedure revisions.
  • Perform physical inventories on fixed assets and storeroom items as needed.
  • Processes all storeroom transfers as assigned.
  • All other duties as assigned.


Qualifications:

EDUCATION AND/OR EXPERIENCE:

  • Associates degree or equivalent in accounting plus minimum two years accounting/bookkeeping experience in general office environment.
  • Advanced knowledge of personal computing systems and basic to advanced knowledge of accounting software packages including Excel or other spreadsheet programs also required.

OTHER SKILLS AND ABILITIES:

  • Ability to operate automated standard office equipment such as multi-line phone system, calculator, copier, fax machine, shredder, etc.
  • Ability to type at least 50 wpm.
  • Ability to use a numeric keypad with a speed of at least 12000 keystrokes per hour.
  • Ability to effectively communicate with others verbally and in writing.
  • Ability to meet assigned deadlines.
  • Ability to interpret, comprehend, and transmit complicated and detailed instructions accurately.
  • Demonstrates the ability to recognize priorities in organization of work flow.
  • Able to perform duties independently, with a minimal need for direct supervision.
