This position will manage administrative operations and provide strategic executive support to our client’s President and executive leadership team. This high-impact role will be responsible for ensuring the seamless execution of critical initiatives and high-priority tasks while overseeing administrative functions such as managing processes, resources, and staff to align with the company’s objectives. This role goes beyond typical administrative functions and requires a professional with a proactive mindset who can act as a thought partner, drive critical initiatives, and streamline executive-level processes.


Key Responsibilities:

  • Act as a strategic partner to the president and executive team, proactively managing high-priority initiatives and ensuring timely oversight, completion, and alignment with company objectives.
  • Coordinate executive-level meetings, events, and logistics, ensuring smooth execution.
  • Prepare agendas, take and distribute meeting notes, and follow up on action items to ensure effective follow-through.
  • Lead and coordinate various special projects, tracking progress, liaising with stakeholders, and ensuring that objectives are met within deadlines.
  • Collaborate with leadership on company-wide programs.
  • Identify and implement process improvements across executive workflows, proactively suggesting systems or tools that enhance productivity.
  • Oversee office operations, ensuring efficient workflows and alignment with strategic priorities.
  • Lead and supervise administrative staff, fostering collaboration across departments and managing resources to support various company initiatives.
  • Maintain a productive and cost-effective office environment, implementing administrative processes for optimal operations.
  • Organize and manage logistics for internal events, company conferences, and client meetings, aligning all initiatives with organizational goals.
  • Gather, analyze, and prepare reports and presentations as required by executives to aid in decision-making.
  • Draft, review, and edit communications for internal and external audiences, ensuring alignment with executive priorities and company values.
  • Exercise discretion and professionalism in handling sensitive, confidential matters.



  • Bachelor's degree in Business, Communications, or a related field.
  • Minimum of 5 years in a similar executive support role, with a track record of supporting C-suite executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), experience with DocuSign and SharePoint strongly preferred.
  • Demonstrated ability to drive complex projects with attention to detail, from conception through execution.
  • Outstanding verbal and written communication skills, with an ability to craft polished, professional correspondence and presentations.
  • Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • High level of integrity and discretion in handling sensitive and confidential information.
  • Ability to pivot quickly, handle last-minute changes, and remain calm under pressure.
