We are looking for an experienced, proactive, and highly organized Senior Executive Assistant to provide critical support to our executive team.
The Executive Assistant acts as a Chief of Staff by performing a wide variety of extremely complex and confidential professional-level executive administrative support duties for Senior Executive Leadership and Ownership as directed.
This individual will ensure efficient day-to-day operations, manage high-level administrative tasks, and maintain strong communication within and outside of the organization. What You'll Do:
- Handle confidential information with the highest degree of professionalism. Ability to be discrete in discussing personal and business matters.
- Serves as Executive Assistant to President & CEO to include managing President/CEO’s email and calendar. Assist in keeping President/CEO on schedule and ensuring time is allocated to the most critical business and personal commitments.
- Serves as point of contact for Executive Leadership Team and completes administrative duties for Senior Executive Leadership and Owners, including scheduling meetings and screening/directing calls.
- Tracks and manages initiatives and/or projects such as EOS Software and implementation.
- Manages business and personal travel for Executive Leadership Team and Company.
- Develops and creates complex and confidential reports and presentations.
- Collects, interprets, and analyzes data, troubleshooting, fact-finding and/or investigating areas requested and provides evidence-based recommendations for review and/or action.
- Facilitates communication and liaison activities for the Executive Leadership Team and Owners to include events such as ELT/Spouse dinner and weekend social trip with spouse.
- Assists in Board Meeting preparation.
- Creates project plans for Executive Leadership Team objectives and ensures they stay on target, identifies delays and opportunities.
- Plans, coordinates, facilitates, and participates in strategic level Senior Executive Leadership meetings, professional development sessions, and events.
- Coordinates agendas and creates minutes for Executive Leadership Team meetings, Board of Directors, and family office meetings (Year Two).
- Leads or assists with several marketing department initiatives to include APR Holiday Party, Steitz Club Manager Holiday Party, APR Company Picnics, Bike Kits, Wine/Wine Labels, and Mexico travel. (Immediate Priority)
- Performs other duties in support of executive leadership as required.
Required for Success:
- Education: Bachelor's degree in Business Administration or a closely related field of study.
- Experience: 5-8 years of progressively responsible professional experience as an executive assistant at a high-paced executive office preferred.
- Demonstrated ability to handle confidential information with discretion and integrity.
- Strong sense of urgency, initiative, and ability to get the job done right in a timely manner.
- Knowledge of administrative procedures and practices.
- Knowledge of internal and external customer service principles and practices.
- Knowledge and application of organizational and time management principles.
- Knowledge of project management principles.
- Exceptional organizational and multitasking skills with a keen attention to detail.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration tools (Slack, Zoom, etc.)
- Excellent written and verbal communication skills; ability to interact professionally with all levels of management, staff, and external partners.
- Demonstrated ability to handle confidential information with discretion and integrity.
- Problem-solving mindset and ability to anticipate needs.
- Flexible, adaptable, and able to thrive in a fast-paced, evolving environment.
