As we continue our rapid growth, we're seeking an experienced Executive Assistant to provide high-level support to our CEO and help streamline our administrative operations.

We take pride in delivering quality software and innovative solutions to our clients, and we need a detail-oriented, proactive Executive Assistant who can help ensure smooth operations across our organization. This role will be instrumental in supporting our executive leadership while handling various administrative and HR responsibilities that are crucial to our company's continued growth and success.

In this role, you will join an Agile organization that works iteratively and incrementally, applying a Lean mindset to our work and rallying together to accomplish shared goals. As a key member of our administrative team, you'll have considerable impact in shaping our organizational effectiveness and supporting our company's mission.

What you'll do

As a senior member of our administrative team, you will:

  • Provide comprehensive executive support to the CEO, including calendar management, travel arrangements, and correspondence
  • Process payroll and handle light bookkeeping duties to support financial operations
  • Lead HR initiatives including screening resumes, conducting initial candidate interviews, and coordinating the hiring process
  • Manage and coordinate special projects, board meetings, and volunteer activities for the CEO
  • Maintain confidential records and handle sensitive information with discretion
  • Prepare and analyze budget worksheets and expenditure records
  • Coordinate company-wide meetings and events
  • Assist with personal business affairs management (up to 30% of time)
  • Support the leadership team in strategic planning sessions and meetings
  • Manage internal communication systems and process improvements
  • Handle expense claims and vacation tracking for the CEO's direct reports

Qualifications:
  • Post-secondary education required
  • Minimum 5 years of experience in an executive assistant role
  • Experience in talent management and HR functions
  • Proven track record in calendar management and executive support
  • Demonstrated experience in payroll processing and basic bookkeeping
  • Strong proficiency in Microsoft Office / Google Workspace applications
  • Experience with CRM systems preferred
  • Client service experience highly preferred
