People Architects is excited to partner with our Westlake Village, California based client seeking their newest member, a Sr. Executive Assistant, to join their team!


As the Sr. Executive Assistant, you will perform diverse duties and administrative functions requiring confidentiality, initiative and sound decision-making for a busy CEO and his company. We are seeking someone who truly enjoys being in a support role and who relies on their excellent organizational skills and the ability to effectively handle multiple priorities. In this role, you will partner with the executive to drive office efficiencies and assist in holding others accountable to office processes in order to make day to day operations more seamless and increase effectiveness of the executive and the team. 

  • Serve as a primary point of contact, an extension of the executive in all manners, representing the team with professionalism and discretion.
  • As the primary point of contact for the employer, handle communications, manage appointments and with appropriate oversight, act on behalf of the executive. 
  • Maintain and optimize schedules by providing calendar management support. Coordinate and schedule personal commitments, including meetings, events, and travel arrangements.
  • Create a system for managing personal email – file and response (where appropriate).
  • Provide general administrative support including creating, maintaining, and editing Word documents, Excel spreadsheets and PowerPoint presentations; making and answering phone calls; writing professional email correspondences, track and process expenses receipts.
  • Manage assigned tasks and projects, including coordinating external vendors/contractors as needed.
  • Plan and organize domestic travel, including accommodation and transportation. Prepare detailed itineraries and provide necessary documentation for the employer's trips.
  • Take ownership of the logistics for meetings, maintain detailed minutes and facilitate weekly team meetings as needed
  • Conduct research on various topics as required, providing summaries and recommendations.
  • Support teammates in planning and executing special projects and events. Anticipate upcoming events and cyclical responsibilities and initiate planning.
  • Deliver a positive guest/visitor experience that showcases a strong attention to detail.
  • Assist with personal tasks including scheduling appointments, managing projects/errands, and handling various personal responsibilities.

  • Bachelor's degree or equivalent experience.

 

Salary: DOE - $110,000.00 - $150,000.00
