We are seeking a highly skilled and dynamic Business Assistant fluent in both Mandarin and English. This individual will play a key role in coordinating meetings and activities with business functions, ensuring seamless communication and follow-through on directives from the General Manager during executive meetings. The role also involves preparing internal presentations, managing KPIs and regular reports, and facilitating efficient project execution in line with the General Manager’s objectives. This is a critical position designed for a proactive, detail-oriented professional with excellent organizational and communication skills. Project and Communication Management: Act as the point of contact for the General Manager’s directives coordinated upfront and issued during weekly meetings with VPs and department leaders. Ensure timely delivery and follow-through of tasks assigned to various departments, maintaining accountability and ensuring responses meet quality standards. Proactively track project progress and coordinate responses, escalating issues to the General Manager as needed. 2. Internal Presentation Preparation: Collaborate with departments to collect relevant content and data for internal speeches and presentations. Prepare and create PowerPoint decks, ensuring accuracy, clarity, and alignment with the General Manager’s instructions within tight deadlines. Refine and polish presentation content to ensure it is compelling and visually effective. 3. KPI Management and Reporting: Assist in the tracking and management of key performance indicators (KPIs) across different departments. Prepare and distribute KPI reports and regular operating report-outs, ensuring timely updates and providing analytical insights when necessary. 4. Meeting Coordination and Documentation: Schedule, coordinate, and facilitate meetings for the General Manager, including executive meetings, department reviews, and special projects. Record, prepare, and distribute meeting minutes, capturing key points, action items, and follow-up needs accurately. 5. Translation and Document Support: Translate internal documents, reports, meetings and correspondence from Mandarin to English and vice versa, ensuring accuracy and cultural sensitivity. Review and edit translated documents for consistency, grammar, and professional tone. 6. Administrative and Business Support: Support the General Manager in managing daily schedules, appointments, travel arrangements, and correspondence. Develop and maintain internal processes and workflows to enhance organizational effectiveness. Serve as a liaison between the General Manager and various stakeholders, both internal and external. Minimum Requirements/Qualifications: Bachelor’s degree in Business Administration, Communications, or a related field. Fluency in Mandarin and English, both written and spoken. 3-5 years of experience as a Business Assistant, Executive Assistant, or a similar role. Proven ability to manage complex projects, prioritize multiple tasks, and meet tight deadlines with high quality. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software. Exceptional organizational, time management, and problem-solving skills. Strong interpersonal and communication skills with the ability to work across diverse teams and cultures. Discretion, high integrity, and ability to handle confidential information. Manufacturing/operations experience is a good plus. Work Environment: May involve exposure to allergens such as Soy, Wheat, Fish, Shellfish, Milk, Egg, Tree Nuts and Sesame. Together We Grow " This position is currently classified as on-site. Base Salary Range: $75,000 - $85,000 per year, based on candidate professional experience level. Employees are eligible to participate in Medical, Dental, Vision, Life Insurance, 401(k), Holidays, Vacation, Tuition Reimbursement Program. The final salary offered for this position may take into account a number of factors including, but not limited to, location, skills, education, and experience.
