Title: Executive Assistant


Salary: $100,000 - $115,000 p.a.

I am partnered with a publishing company that is currently looking for a smart and detail-oriented executive assistant for its CEO. The company was founded in 2011, and the CEO is based in California. That said, they are looking for an executive assistant so they can always be one step ahead of her. To succeed in this role, you will need to have a great eye for detail while moving in a fast-paced environment. This role will be 100% remote.


Responsibilities:

  • Manage a complex calendar across multiple time zones
  • Prioritize meetings across the day, week, and month
  • Maintain sensitive information
  • Create detailed itineraries and diary notes
  • Prep CEO for meetings
  • Handle last-minute postponements and reschedule accordingly
  • Manage the CEO’s emails and phone calls including knowing how to respond accordingly
  • Sit in on important meetings ensuring all notes are captured
  • Participate in ad hoc projects
  • Possible travel with the CEO
  • Act as the liaison between work and the home
  • Ensure that personal appointments are calendared correctly
  • Run frequent air traffic control to ensure that the day is running smoothly and know when / how to intervene.
  • Open to receive messages outside of standard hours due to the time difference.


Requirements

  • 7+ years of experience as a C-Suite level Executive Assistant
  • Strong organizational and communication skills. Multi-tasking is a must
  • High EQ; excellent oral and written communication skills with strong executive presence
  • Strong sense of integrity and confidentiality
  • Meticulous attention to detail in all aspects of work
  • Self-starter with a proactive mindset and a sense of urgency
