Role Overview:

My client is seeking an Executive Assistant who will also play a pivotal role in managing office operations. In this dual capacity, you will be the cornerstone of efficient office management, ensuring seamless daily operations, while providing high-level support to the executive team. This role is ideal for a proactive individual who can streamline processes and serve as a trusted partner to executives, enabling them to maximize their productivity and focus on strategic priorities.


Key Responsibilities:

Office Management

  • Oversee and coordinate all office operations, including supplies, equipment maintenance, and vendor relationships.
  • Manage office budgets and track expenses to ensure cost-efficiency.
  • Organize and maintain a clean, functional, and welcoming office environment.
  • Plan and execute team events, meetings, and office activities.
  • Act as the primary point of contact for building management and external vendors.

Executive Assistance

  • Provide comprehensive administrative support to the executive team, including calendar management, travel arrangements, and expense reporting.
  • Prepare and edit correspondence, reports, and presentations as needed.
  • Coordinate meetings, manage agendas, and take detailed minutes.
  • Anticipate the needs of executives and handle confidential information with discretion.
  • Act as a liaison between executives and internal/external stakeholders.


Qualifications:

  • Proven experience in office management and/or executive assistance.
  • 5+ years experience as an executive assistant in the biotech industry
  • Exceptional organizational and multitasking skills.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  • Strong communication and interpersonal abilities.
  • High level of discretion and professionalism.
  • Ability to work independently and adapt in a fast-paced environment.
  • Bachelor’s degree preferred.
