Chrysalis Psychiatry is a growing outpatient mental health practice in Albuquerque, New Mexico. We offer a variety of mental health services including medication management and interventional treatments for PTSD, depression, and other mental illnesses. The Executive Assistant will provide comprehensive administrative support to multiple executive. This role involves managing the daily operations of the executive office, coordinating with clinical and administrative staff, and ensuring efficient communication and organization within the clinic.
Key Responsibilities:
Calendar and Schedule Management:
- Coordinate and manage the Executive's calendars, including scheduling appointments with medical professionals, clients, and external partners.
- Organize meetings and conferences, including preparation of materials and coordination of logistics.
- Handle travel arrangements for conferences, meetings, and site visits.
Communication and Correspondence:
- Serve as the primary point of contact between the Executives and internal/external stakeholders, including patients, medical staff, and partners.
- Draft, review, and distribute professional correspondence, reports, and communications.
- Screen and prioritize incoming communications, responding or directing as appropriate.
Administrative Support:
- Prepare and manage confidential documents, including patient records, financial reports, and personnel files.
- Assist in the preparation of grant applications, proposals, and regulatory documentation.
- Maintain accurate records of clinic policies, procedures, and compliance documentation.
Project Coordination:
- Assist in planning and executing special projects, including community outreach programs, clinic expansions, and patient care initiatives.
- Monitor project timelines and ensure deadlines are met.
- Collaborate with clinical and administrative staff to support the clinic's operational goals.
Qualifications:
Experience:
- Previous experience as an executive assistant or administrative assistant preferably in a healthcare or psychiatric setting.
- Familiarity with medical terminology and healthcare regulations (e.g., HIPAA).
Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills, with sensitivity to the needs of patients and healthcare professionals.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and electronic medical records (EMR) systems.
- High degree of professionalism and ability to work in a fast-paced environment.
Working Conditions:
- Full-time position, on-site.
- May require occasional evening or weekend work.
