Job Description
Overview
The Executive Assistant to the Chief Executive Officer (CEO) provides comprehensive support to the CEO, other senior executives, and their teams, performing a wide variety of administrative duties. The individual is self-motivated, professional, and capable of managing their workload as well as assisting with their executives’ workloads, and proactively prioritizes tasks in a fast-paced environment.
Essential Functions and Responsibilities
- Provide executive administrative support to the CEO and other executives at a level typically provided to CEOs of mid-cap public companies with more than a thousand employees and extensive public and private engagements
- Coordinate and schedule meetings in a complex, rapidly changing environment with excellent focus and avoidance of distractions
- Work with a second executive assistant in the Pacific Time zone to manage the CEO’s schedule and events over an extended business day from at least 8 AM Eastern time (ET) to 8 PM Pacific time, with the candidate focused on the period from 8 AM ET up to 2 to 3 PM ET
- Prioritize inquiries and requests while troubleshooting conflicts with minimal distractions to the executive team
- Demonstrate excellent judgment with respect to executive-level matters, including interactions with executives and leaders and their staff members from other companies, banks, major investors, and government
- Administer correspondence, manage incoming calls, and prioritize phone messages, emails and mail
- Assist with important meetings and events, including executive team meetings, board of directors’ meetings, investor events, and major company events, and in collaboration with other executive administrative assistants and facilities staff, ensure that meeting venues, catering, dinners, offsite events (including medical conferences) and facilities are provided with exceptional support during meetings and events
- Plan, manage and coordinate extensive and complex travel arrangements, including last-minute and emergency arrangements
- Accurately report travel and business expenses for executives
- Maintain confidentiality and exercise a high degree of discretion
- Make judgments and recommendations to ensure smooth day-to-day operations of the administration functions
Required Education, Skills, and Knowledge
- 10+ years of experience as an executive assistant, including 5+ years as an assistant to a CEO or seniormost executive of a company or large division of comparable size and complexity
- In depth knowledge of Microsoft Excel, Word, PowerPoint, and Outlook
- Excellent interpersonal, oral, and written communication skills
- Excellent writing, proofreading, and editing skills
- Sounds judgement in handling highly sensitive and confidential information
- Comfortable in a fast-paced environment with minimal direction and changing priorities

Physical Demands and Activities Required:
- Must be able to remain in a stationary position standing or sitting for prolonged periods of time.
- Must be able to move about inside an office and exert up to 10 pounds of force occasionally or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
- Must have visual acuity to perform activities such as: preparing and analyzing documents, spreadsheets, and presentation materials, viewing a computer screen, and extensive reading.
- This position requires repetitive motion, substantial movements (motions) of the wrist, hands, and/or fingers.
- Must be able to communicate with others to exchange information, including use of a keyboard and mouse.
