We're a large property developer and property manager on the east coast. We're the best of the best and are excited to be bringing on a new team member who will be able to grow with our organization as we continue to grow. As an Executive Assistant you will support a team of three senior executives. The role will require close interaction with senior management and collaboration with all departments and professionals within the company. The successful candidate will work closely with all areas of the company including acquisitions, asset management, leasing, property management, accounting, development, and construction.
Responsibilities of the Executive Assistant:
- Maintain executive’s calendar(s) via Outlook, which includes coordinating, planning and scheduling various internal and external meetings and appointments. Check calendars daily to help keep executives on track with daily commitments
- Compose and type standard correspondence, complex communications, statistical and analytical reports and other documents as needed
- Process invoices and expense reports for timely payment in Nexus Payable and Concur
- Assist in consolidating and distributing contractual documents and execution counterparts
- Coordinate all broker dinners, parties and leasing related events with appropriate style while staying within budget
- Assist in the preparation of annual budgets and schedules for properties
- Assist in the preparation of leasing assumptions for properties
- Prepare and edit correspondence, proposals and other business correspondence
- Track contract billings/expenses for various construction projects
- Assist with document and database management
- Prepare vendor contracts and insurance compliance as well as to ensure payment and compliance matters
- Create and edit visual presentations using PowerPoint as well as supporting marketing and event planning initiatives
- Perform other customary administrative duties as necessary
- Coordinate business travel arrangements when necessary
Requirements of the Executive Assistant:
- Bachelor’s degree is required
- 1-3 years of office experience
- Commercial real estate knowledge a plus
- Must have high level of interpersonal skills to handle sensitive and confidential situations
- Must continually demonstrate poise, tact, and diplomacy
- Must be a team player and be willing to work beyond normal work schedule when necessary
- Continual attention to detail in establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
- Excellent command of the English language in communication and writing skills
- Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work
