Job Description
The Executive Assistant provides high-level administrative support to executives within the organization.
Key Responsibilities:
Schedule and coordinate meetings, appointments, and travel arrangements for executives. Manage multiple calendars efficiently, ensuring optimal use of time and resources.
Serve as the primary point of contact for internal and external stakeholders, screening and directing phone calls, emails, and other correspondence. Draft and edit documents, presentations, and reports as needed.
Provide comprehensive administrative support to executives, including preparing expense reports, managing budgets, and maintaining accurate records. Handle sensitive information with discretion and confidentiality.
Organize and facilitate meetings, including preparing agendas, distributing materials, and recording minutes. Follow up on action items and ensure timely completion of tasks.
Maintain filing systems, databases, and document repositories to ensure easy access to information. Keep the executive office organized and efficient.
Proactively identify issues and propose solutions to streamline processes and improve efficiency. Handle unexpected challenges with poise and professionalism.
Handle additional duties and responsibilities as assigned by the Executive Office Administrator and SVPs.
Qualifications:
Associates degree or higher preferred.
Proven experience as an executive assistant or similar role, preferably supporting senior executives.
Exceptional organizational and time management skills.
Strong communication and interpersonal abilities.
Proficiency in Microsoft Office Suite, Zoom, and other relevant software applications.
Ability to handle confidential information with discretion.
Detail-oriented with a high level of accuracy.
Ability to work independently and prioritize tasks effective, and manage multiple daily tasks minimal supervision in a team-centric environment.
Flexibility to adapt to changing priorities and work in a fast-paced environment.
Hours: M-F: 8:00am to 5:00pm (Must be available to work overtime as required)
Starting salary $60,000 to $70,000; pay negotiable for the right candidate.
