The Town of Sharon is accepting applications for the full-time (37.5 hours/week) position of Executive Assistant to the Town Administrator and Select Board. The successful candidate will perform high level, responsible and complex executive administrative work in assisting the Town Administrator, as chief executive officer, and the Select Board in accomplishing the goals, objectives and functions of the office.

Responsibilities include, but are not limited to:

  • Provides assistance to internal and external customers of the Town, including the public, residents, Town staff, department/division heads, board and committee members, etc. Greet visitors, answer phones, explain office procedures, respond to questions within level of expertise, and work with town department heads and staff to resolve issues and problems on behalf of the Town Administrator and Select Board.
  • Attend evening Select Board and Capital Outlay Committee meetings; work with Town Administrator to prepare agendas and supporting materials. Compiles materials for Select Board meetings; prepares and takes minutes; prepares follow-up correspondence from meeting activity; attends executive session meetings.
  • Issues annual renewal applications and collect fees for licenses and permits. Manage licenses issued and provide procedural assistance to new applicants or those requesting changes to existing licenses. Coordinates requests for one-day licenses requiring Select Board approval.
  • Responsible for the organizing and publication of the Annual Town Report. Works with town departments, boards and committees, and others to compile individual annual reports, creates final report and coordinates with vendor to have them printed for distribution and coordinates delivery to each household by Sharon-based civic or not-for-profit organization.
  • Oversee the annual appointment process for appointed officials, including preparation of board and committee lists of reappointments for Select Board to act on, as well as communication with appointed officials and coordination with the Town Clerk for letters required for swearing in. Also works with appointed and elected boards and committees throughout the year to fill vacancies as they arise.
  • Generates weekly department payroll. Process all invoices for the Town Administrator and Select Board for Town Administrator approval and submission to accounting. Routinely reconciles and monitors budgetary accounts under jurisdiction of the Select Board and Town Administrator; tracks legal bills.

Qualifications and Experience: Bachelor's degree in Public Administration, Political Science, Business Administration or a related field; at least five to seven (5-7) years of progressively responsible executive administrative experience; experience working in a municipal setting desired; or any equivalent combination of education and experience. Strong working knowledge of the Town's by-laws, policies, procedures and operations; understanding of pertinent state and local laws relating to departmental operations; knowledge of municipal and state government. Thorough knowledge of office practices, procedures and terminology.

Starting Salary Range: $64,096 - $66,670 DOQ, with generous benefits, including health, dental, vision, life and disability insurance, flexible spending accounts and retirement plans. Overtime available for evening meetings.
