Job Title: Executive Assistant (Temp)

Job Description: The Executive Assistant will provide comprehensive administrative support to the Vice President of Development and Alumni Relations, assisting with operations, event planning, and strategic coordination. This role involves managing schedules, handling high-level communications, and coordinating large events. The position requires a strong ability to interact with various departments and maintain confidentiality and professionalism at all times.
Key Responsibilities:
- Support the Vice President’s calendar, meeting coordination, and follow-up tasks.
- Manage travel arrangements and create detailed itineraries for trips.
- Assist with departmental budget management, analysis, and reporting.
- Coordinate staff meetings and create agendas; support strategic planning initiatives.
- Conduct research and prepare briefs for meetings with alumni, donors, and board members.
- Oversee office management tasks, including supplies and subscriptions.
- Help organize major events and signature college gatherings.
- Facilitate onboarding and offboarding of department staff.
- Serve as project manager for special initiatives as needed.
Qualifications:
- Bachelor’s degree preferred; equivalent experience may be considered.
- Minimum five years of experience in administrative support, ideally in higher education or nonprofit.
- Proven skills in event coordination, budgeting, and multi-level communication.
- Proficiency in Microsoft Office Suite and familiarity with database management.
- High level of discretion, organizational skills, and attention to detail.
- Flexibility to work occasional evenings or weekends as required for events.
Additional Details:
- Hybrid schedule: 2-3 days in office, 2 days remote (Tuesdays and Wednesdays required in-office).
