Executive Assistant
Responsibilities:
  • Schedule appointments, planmeetings, and maintain complex and changing calendars,while working through scheduling roadblocks.
  • Draft and prepare routine and advanced correspondenceincluding emails, presentations and reports. Review outgoingcorrespondence for accuracy, format consistency, signaturesand conformance with executive procedures.
  • Assist leadership and organizations by optimizing usage of time.Make decisions regarding short-term priorities and workactivities.
  • Arrange all travel to ensure consistency within companyprocedures and support organization in obtaining necessarytravel documents including Visa/passport, while maintainingLeadership expenses/credit cardreconciliation.
  • Identify issues within theorganization and initiate orfacilitate solutions.
  • Assist internal departments with the setup of new hires.
  • Assist new hires with processes including expense reporting andtravel systems and other internal processes and tools. Compile,prepare and process Leadership expenses and credit card reconciliation where needed.
Required Skills:
  • 5+ years’ experiencesupporting SVPlevel (C-Suite experience is a plus)
  • Experience supporting multiple executives at once
  • Comfortable providing remote support
  • Highly organized withexceptionalcommunicationskills andability to manage avariety of high priorityprojectsfrom multiplemanagement andprofessionallevels
  • Desire to grow and take onyourown projects
  • Professionaldemeanorand soft skills
  • Positive and personablecan-do attitude
  • Proficient in Zoom,MicrosoftOffice suites (Word,Excel,PowerPoint, Outlook),Box,Concur and Google Docs
  • Experience handlingconfidentialmaterials
Pay Rate: $35-$38/hour
