Position Type: Full-Time
Salary Range: $60,000 - $70,000
Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will be a self-starter who can anticipate the needs of the executives, streamline processes, and contribute to the smooth operation of the office. This role requires a high level of discretion, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Executive Support: Provide administrative support to the executive team, including calendar management, meeting coordination, and travel arrangements.
- Meeting Coordination: Schedule and organize meetings, prepare agendas, take minutes, and follow up on action items to ensure timely completion.
- Communication Management: Act as a liaison between the executives and internal/external stakeholders, ensuring clear and effective communication.
- Document Preparation: Prepare, proofread, and format documents, presentations, and reports for the executive team.
- Project Assistance: Assist with special projects, research, and data analysis as needed to support the executive team's strategic initiatives.
- Office Management: Maintain office supplies, manage incoming and outgoing correspondence, and ensure a well-organized and professional office environment.
- Event Planning: Coordinate company events, including executive offsites, team-building activities, and other corporate events.
- Process Improvement: Identify opportunities to improve administrative processes and implement solutions to increase efficiency and productivity.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
Qualifications:
- Experience: Minimum of 2-3 years of experience as an executive assistant, preferably supporting senior executives.
- Education: Associates degree in Business Administration, Communications, or a related field is preferred.
- Skills:
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and take initiative.
- High level of professionalism and the ability to handle confidential information.
- Strong problem-solving skills and the ability to anticipate needs.
