Executive Assistant to Senior Minister
Location: The Riverside Church in the City of New York (New York, NY)
Reports to: Chief Operating Officer
Department: Administration Executive
Schedule: Mon- Fri: 9-5 on site, with some Sundays and evenings required
Salary Range: $70-80K annually
Job Summary:
Manages the day-to-day operations for the Senior Minister’s office; oversees projects, coordinates all communications, schedules appointments, reviews and processes all expenses for the Chief Operating Officer's Office, represents the Chief Operating Officer as needed in meetings, functions and other activities. Manages all Board (Council) related communications, materials and meetings.
Essential Job Responsibilities:
- Provides administrative support, establishing uniform correspondence procedures and styles, drafting correspondence, reports and documentation for the Senior Minister.
- Coordinates the schedule and makes appointments for the Senior Minister.
- Purchases and maintains supplies, arranges for equipment maintenance, prepares essential paperwork, assists in the financial process as appropriate.
- Prepares authorization forms for payment, check requests, and petty cash requests
- Develop, maintain and publish monthly calendar for the Senior Minister
- Coordinate arrangements for special events initiated by the Senior Minister and Council
- Schedules Council Meetings; produces minutes from these meetings and manages all Council related communications on a timely basis.
- Receives, greets visitors (employees and guests) of the Senior Minister
- Interface with church leadership, church members, staff and others on projects or issues as assigned by the Senior Minister
- Schedule and manage travel arrangements, preparing detailed itinerary and travel arrangements for the Senior Minister
- Maintains updates Rosters of Lay Leaders and Members of the Church Council, Committees and Commissions and facilitates timely reporting and records retention for these groups.
Experience and Education Requirements:
- Bachelor’s degree preferred
- Board management experience preferred
- 5 - 7 years of related experience in an executive administrative role
- Demonstrated ability to work with discretion within a confidential environment
- Excellent verbal and written communication skills, including letter and report writing, minute-taking, proofreading, etc.
- Proficient in Microsoft suite of products including Word, Excel, Power Point,
- Proficient in Internet research tools
- Demonstrated ability to prioritize multiple tasks to meet deadlines
- Demonstrated ability to interact in a collaborative manner with other ministries and teams
- Strong critical thinking and problem solving skills required
- Professional demeanor and ability to interact and influence at all levels of the Church
- Experience working within a religious organization preferred
