R2Net is a diamond bridal jewelry company with a technology soul. R2Net Inc. is an innovative technology company that provides e-commerce and supply chain platforms to connect the entire span of the diamond industry's ecosystem, including manufacturers, retailers, and consumers.

Provides professional management of administrative responsibilities for the President Digital Banners – James Allen & Blue Nile, ensuring smooth operations and supporting the President in managing both strategic and day-to-day responsibilities. The Executive Assistant responsibilities include maintaining an accurate schedule of meetings, appointments, and calls; scheduling travel and handling expense reports and budget for the office of the President; preparing correspondence, meeting agendas, and reports. An important aspect of the role is anticipating what is needed each week and ensuring the President is prepared for events and meetings.

Responsibilities:

1. Communication Manager

  • Manage the President’s Schedule: Prioritize and coordinate the President’s calendar, including internal and external meetings, board meetings, in conjunction with Investor Relations and Media teams. Proactively identifies issues that could impact schedule or execution of commitments and develops alternatives to resolve issues.
  • Screen Communication: Act as the gatekeeper for calls, emails, and in-person requests to filter out unnecessary distractions while ensuring that important matters reach the President. Ensure emails from customers and employees receive immediate attention and a response. Provides the President with updates on daily announcements, press releases in the jewelry and retail industry, and any relevant press about Signet.
  • Facilitate Communication: Liaise between the President and senior executives, and key employees. Provides drafts for President review or directly corresponds on behalf of the President. Coordinates store visits, town halls, and Quarterly meetings with VPs/SVPs and acts as a focal point for material needed to prep before events.

2. Corporate Governance Support

  • Corporate Governance: Assist the President in managing corporate governance tasks, ensuring compliance with legal, financial, and reporting requirements, especially in a public company setting.

3. Project Management and Special Initiatives

  • Oversee Strategic Projects: Manage or oversee key projects and initiatives that require the President’s oversight but don’t warrant the President’s direct involvement in every detail.
  • Cross-Departmental Collaboration: Act as a liaison between different departments or external partners, helping streamline communication on important projects.

4. Confidentiality and Discretion

  • Handle Sensitive Information: Manage confidential information related to corporate strategy, and legal matters, maintaining utmost discretion.
  • High-Level Decision Support: Provide support in preparing reports, documents, and presentations requested by the President. Ensures the President is prepared for meetings and that meeting participants have pre-reading material available.

5. Travel Coordination

  • Domestic and International Travel: Manage and organize the President’s travel itinerary, logistics, and accommodations, ensuring smooth transitions between engagements.
  • Event and Conference Planning: Coordinate attendance and participation in major industry events, public relations appearances, and investor roadshows.

6. Office Management

  • Event Planning and Coordination: Support planning and execution of luncheons, team engagement events, and other office activities, fostering a positive office culture. Work closely with the events team to arrange for catering, room setup, and coordination of supplies to ensure seamless event experiences.

7. Documentation and Presentation Preparation

  • Prepare Reports and Presentations: Assist in creating presentations, speeches, reports, and other documents that the President may need.

8. Personal Assistant Functions

  • Personal Calendar and Tasks: Assist the President with personal tasks and scheduling as necessary, ensuring a balanced work-life integration.
  • Personal Travel and Event Planning: Coordinate personal and family travel or events that may intertwine with professional responsibilities.

9. Facilitator of President Productivity

  • Time Management: Help the President optimize time management by setting priorities, managing follow-ups, and ensuring the President stays focused on strategic goals. Briefs the President in advance about key issues and events.
  • Task Delegation: Assist in delegating tasks to senior management or appropriate departments, ensuring actions are executed according to the President's vision.

Requirements

1. Experience and Skills

  • 5+ years as Executive Assistant in a corporate setting
  • Demonstrated ability to develop and maintain positive working relationships with all levels of the company, including and not limited to senior management, executive assistants, board members, and internal/external contacts
  • Exceptional organization and time management skills with an eye for detail
  • Advanced computer skills, including proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); ability to work with video conference technology required
  • Meticulous grammar, editing, writing, presentation, and communication skills

3. Requirements

  • Must be available to work a hybrid work schedule that supports the President’s work schedule with significant time in the office based New York.
  • Consistent and reliable scheduled attendance is considered an essential function of this job

Base pay $90,000-$120,000. Final pay rate shall be determined and is based on experience and qualifications.
