Position Overview:

The Executive Assistant to CEO’s chief goal is to keep the company CEO on schedule and organized on a daily and weekly basis. This will require daily interaction with the CEO, and frequent interaction with other key employees.

Core Duties and Responsibilities:

  1. Coordinate CEO’s schedule
    1. Keep CEO’s To–Do list, updating daily.
    2. Orchestrate CEO schedule.
      1. Schedule calls and meetings for CEO. Screen requests for time.
      2. Ensure CEO is aware of meeting times and locations.
      3. Resolve scheduling conflicts.
    3. Travel Schedule.
      1. Coordinate travel with other parties. May include making travel arrangements, applying for visas.
        1. Prepare itinerary.
        2. Set up meetings for Craig in travel locations.
        3. Attend some conferences.
        4. Schedule continuing education courses for the CEO to meet his requirements for attorney and real estate broker licensing.
        5. Keep tabs on requirements and deadlines and submit all certificates and fees in a timely manner.

  1. Communications
    1. Act as gatekeeper, filtering communications, and prioritizing tasks for CEO.
      1. Communicate with other Arden employees and external parties on behalf of the CEO. Answer some inquiries on his behalf.
        1. Write first draft of longer email messages for CEO.
          1. Produce consolidated reporting to CEO of internal data and information generated from around the organization.
          2. Manage relationships with key external business partners.

  1. Reading and preparing written materials
    1. Prepare materials needed by CEO. Assist in creation of presentations and talking points.
    2. Stay up–to–date on areas of interest to the CEO, reading and organizing new information for his perusal.
    3. Analyze and summarize data for CEO. Create tables to communicate data or options from research.

Secondary Duties

  1. Support Company Meetings and Events
    1. Provide support to Investor Relations for investor forums and conferences.
    2. Provide support to HR for company–wide employee events, such as holiday parties.

Qualifications:

  1. Minimum of 5 years relevant work experience with an executive or executive team.
  2. High school diploma or GED. Additional education a plus.
  3. Experience in for–profit corporation. Experience in real estate or private equity company a plus.
  4. High level of skill with Microsoft Office applications, including Outlook, Excel, Word, PowerPoint necessary. Command of meeting technology (Teams, Zoom). Competency with Apple products a plus.
