We are seeking a talented individual to join our client's team as an Executive Assistant & Marketing Coordinator. In this dual role, you'll provide direct support to our CEO while collaborating with the Marketing Director on daily marketing activities, content creation, and event planning. Your role will be essential in ensuring the smooth operation of internal processes and enhancing our client-facing initiatives.


Marketing Support:

  • Content Management: Assist in developing and maintaining content calendars to ensure timely publication across all platforms.
  • Content Creation: Generate engaging content for social media channels, email newsletters, and website updates.
  • Marketing Materials: Help produce and distribute promotional materials such as brochures and newsletters.
  • Editing and Proofreading: Review marketing content for accuracy and coherence before release.
  • Website Updates: Regularly update website content to reflect current information and offerings.
  • Team Culture Initiatives: Participate in programs aimed at enhancing internal team dynamics and company culture.
  • Event Coordination: Plan and execute a variety of corporate events, including client entertainment, internal team-building activities, and strategic planning sessions.
  • Event Logistics: Manage all aspects of event logistics, from venue selection and catering to audiovisual needs and guest coordination.
  • Budget and Timelines: Develop event timelines and budgets, ensuring events are delivered on time and within scope.
  • Vendor Management: Coordinate with external vendors and stakeholders to facilitate successful events.
  • Brand Alignment: Ensure all events are consistent with the company's brand image and objectives.


Executive Assistance:

  • Calendar Management: Oversee the CEO's schedule, arranging meetings and resolving any conflicts.
  • Travel Coordination: Organize comprehensive travel plans for the CEO, including flights, accommodations, and itineraries.
  • Point of Contact: Act as the primary liaison between the CEO and internal/external clients.
  • Meeting Preparation: Arrange and prepare for client meetings by setting agendas and assembling necessary materials.
  • Administrative Tasks: Handle daily administrative duties such as email management, report preparation, and expense processing.
  • Cross-Departmental Liaison: Facilitate communication between the CEO and other departments to keep projects aligned and progressing.


Qualifications:

  • Exceptional ability to manage multiple tasks with a high degree of accuracy.
  • Strong interpersonal skills with the confidence to interact with executives and clients.
  • Skilled in Microsoft Office Suite, Google Workspace, and familiar with event management software.
  • Knowledge of Adobe Creative Suite and Canva is a plus.
  • Experience with platforms like Instagram, Facebook, and LinkedIn.
  • Ability to work proactively and independently in a fast-paced environment.
  • High level of confidentiality when handling sensitive information.
