Position Summary: The Executive Assistant to EVP, VP Manufacturing and Fabrication Services and Director of Engineering will provide exceptional, detail-oriented administrative support.
Essential Duties and Responsibilities:
- Schedule all meetings and prepare agendas to be shared in advance.
- Sit in on meetings, taking notes and circulating minutes.
- Responsible for scheduling follow-ups with staff across departments, checking-in with staff across department to ensure follow-ups have been received.
- Manage calendars as needed, flagging key upcoming critical deadlines and events.
- Draft talking points for key meetings and presentations.
- Prepare and circulate presentations, coordinating edits.
- Update budgets and assist with expense reports.
- Flag deadlines and proactively suggest what may be needed to fulfill requirements.
- Coordinate with HR, including scheduling interviews, providing updates on open job positions, performance discipline and other issues as required.
- Schedule and plan corporate culture events.
- Schedule travel, not limited to bookings, pick-ups, and attendant meetings.
- Work on special projects and on specific administrative, financial, logistics, or marketing tasks as required.
Knowledge, Skills and Abilities
Knowledge, Skills, and Abilities:
- Minimum of 2 years' experience in a similar role, ideally within a fast-paced, professional work environment.
- Highly organized and resilient with the utmost discretion
- Consistently able to prioritize to meet strict deadlines.
- Exceptional verbal and written communication skills.

Required Education and Experience:
- Experience handling a wide range of administrative and executive support tasks and projects.
- Proficiency in note taking to ensure the capture of key ideas and action items.
- Advanced knowledge of Microsoft Office to include Word, Excel, PowerPoint, Outlook, and Teams.
- Bachelor's degree from an accredited college or university preferred.
