Job Description
Executive Assistant
Architecture & Engineering firm in Indianapolis is looking to hire an experienced administrative professional for an Executive Assistant position supporting the CEO and COO.
Responsibilities
- Executive Support: Manage executive schedules, draft and send communications, organize meetings, and handle logistics.
- HR Liaison: Work with external Human Resources team for onboarding, benefits and all other HR functions.
- Business & Legal Coordination: Manage relationships with external firms for business licensing, legal support (contract review, claims, compliance), and insurance matters.
- Logistics: Coordinate travel, prepare and manage expense reports, assist in planning company events and activities.
- Communication & Leadership: Foster clear communication, promote collaboration, and adapt leadership to challenges. Encourage accountability, empowerment, and innovation.
- Team Development & Strategy: Support leadership development aligned with company needs, advocate for creative solutions, and manage risks while seizing opportunities.
- Company Culture & Decision-Making: Build a culture of initiative, learning, and trust, while making decisions in the best interest of the company and leading through change.
Qualifications
- 5+ yeas of professional experience, preferably in the Architecture & Engineering, Engineering Services, Construction or similar industry.
- Bachelor’s degree preferred.
- Notary preferred or willing/able to obtain
- Proficiency with MS Office including Word, Excel, Outlook, PowerPoint.
- Speed and accuracy with word processing, data entry and transcription.
- Understanding of written composition, grammar, spelling, and formatting.
- Electronic file management experience.
- Successful experience working with a wide variety of personality types in a team setting.
- Good communication skills, written and verbal.
- Honest and trustworthy with a deep commitment to integrity.
- Futuristic and forward-thinking mindset; ability to communicate and inspire people.
- Strives for achievement; is tenacious, resilient and takes initiative.
- Excellent analytical, critical thinking and organizational skills.
