We’re looking for a highly motivated individual with a “can do” attitude, exceptional problem-solving skills, and a proactive approach. The Executive Assistant will support an executive who wears many hats, often juggling a wide range of responsibilities. This role requires someone who can take ownership of tasks, work independently with minimal direction, and communicate effectively both in writing and orally. No job is too big or too small—you’ll be expected to handle everything from high-level projects to day-to-day administrative tasks with the same level of commitment.
Key Responsibilities
- Provide administrative support, including drafting and editing emails, memos, and other communications on behalf of the executive.
- Perform basic accounting and bookkeeping tasks as needed.
- Organize and schedule meetings, send reminders, and coordinate logistics.
- Manage the executive’s calendar, including scheduling appointments and prioritizing tasks.
- Coordinate travel arrangements and prepare detailed itineraries.
- Use various software tools (e.g., Google Workspace, Canva, ZenDesk, spreadsheets, word processing, and presentation software) to create reports and support special projects.
- Take on special projects and assignments, figuring out solutions independently with minimal guidance.
- Serve as a problem solver and resourceful thinker, tackling challenges and finding innovative ways to support the executive and practice.
- Act as a liaison between the executive and the team, ensuring smooth communication and alignment on priorities.
Qualifications and Skills
- Strong time management skills with the ability to meet deadlines.
- High School degree or equivalent, college degree preferred.
- Excellent written and verbal communication abilities.
- Exceptional organizational skills and the ability to multitask effectively.
- Independent problem-solving and decision-making capabilities.
- Discretion in handling sensitive and confidential information.
- Proficiency with standard office equipment and technology tools.
- A proactive, self-starting attitude with the ability to take ownership of tasks and see them through.
- High level of attention to detail and accuracy.
