Position Overview: We are seeking a detail-oriented and proactive Executive Assistant to join our team. The ideal candidate will provide essential support to ensure the efficient operation of the office. This role requires a high level of organizational skills, professionalism, confidentiality, and the ability to multitask effectively.

Key Responsibilities:
- Provide administrative support to the office team and management.
- Manage and organize office operations and procedures, including scheduling, correspondence, and filing.
- Answer and direct phone calls, emails, and other inquiries promptly and courteously.
- Coordinate meetings, appointments, and travel arrangements for staff.
- Prepare and edit documents, reports, and presentations.
- Maintain office supplies inventory and place orders as necessary.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system for important and confidential company documents.
- Handle sensitive information in a confidential manner.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
- Ensure the office environment is welcoming, professional, and conducive to productivity.
- Perform other related duties as assigned.
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Proven experience as an administrative assistant or office admin assistant.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Proficiency in Good Workspace
- Proficiency in Adobe Acrobat
- Proficiency in Mac OS
- Proficiency in online meeting flatforms such as Zoom, Microsoft Teams and Webex
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- Ability to work independently and as part of a team.
