About the Role

This Executive Assistant role provides a wide range of support services to the Chief Legal Officer, as well as other leaders within the department. The ideal candidate will be a self-starter who is able to manage multiple priorities in a fast-paced environment. This person should have excellent writing and communication skills, be proactive in anticipating needs, and possess strong attention to detail. The responsibilities of this role encompass organizational and administrative functions, which include scheduling, organizing, communicating, and special projects. Qualified candidates will have had extensive experience assisting company executives, board members and have exceptional writing and listening skills, and possess a high degree of professionalism.

What You’ll Do

  • Provide high-level administrative, project and personal support to the Chief Legal Officer as well as other leaders as needed.

  • Demonstrates initiative, discretion and tact in managing email, phone calls and other requests. Ensures all correspondence is accurate, complete and properly handled.

  • Stay “one step ahead” of the executives with their many commitments and events by providing confidential and exceptional assistance with organizing, managing and maintaining active calendars, and managing conflicts.

  • Orchestrate complex and extensive travel arrangements both domestically and internationally; and prepare travel documents and detailed itineraries.

  • Assist in contract lifecycle management, including project management and cross functional coordination.

  • Prepare and organize important legal and strategic materials and plans, and support board meetings and the preparation of board materials

  • Serve as the administrative liaison to assist with Board activities as needed, which can include coordinating Board committee meetings; and compiling, assembling, and distributing Board committee meeting materials.

    • Identify situations that require immediate escalation and exercise precise judgment.

    • Manage confidential business matters and correspondence.

    • Assure administrative detail on all projects to ensure progress to deadlines.

What You’ll Bring

  • Proven experience in planning and managing executive support within a large global organization.

  • Ability to prioritize and manage a wide range of competing tasks associated with the needs of a Group Executive.

  • Strong relationship and partnership building skills. Demonstrated ability to engage with a wide range of senior stakeholders and high profile organizations.

  • Self-starter who takes initiative to start projects, work unsupervised, complete tasks independently, effectively addresses roadblocks, and addresses issues before they become problems.

  • Collaborative approach with appreciation and enjoyment of working as part of a team.

  • Ability to thrive and think creatively and calmly in highly fluid situations and under intense schedules, pressures, and deadlines.

  • Excellent written, verbal, and editorial skills.

  • High level of computer proficiency in preparation of documents, presentations and spreadsheets using Google Workspace, including Gmail, Google Docs, and Google Drive. Proficiency with Microsoft Office Suite including Excel, PowerPoint and Word.

  • Ability to create, maintain and/or generate various office or status reports, spreadsheets, databases, PowerPoint presentations and/or charts.

  • Ability to identify methods and best practices to improve office operational efficiencies

What We Offer

The salary range for this role is $73,000 to $85,000; however, Packsize considers several factors when determining compensation when extending a job offer, including but not limited to, the role being offered, the associated responsibilities, the candidate's prior work experience, education/training, and any special skills.
