What Our Client Needs:

Our client is looking for an Executive Assistant. The Executive Assistant is an integral member of the operations team responsible for providing support to various industry teams within our organization. You will be responsible for coordinating meetings, arranging travel and calendar management. In addition, under the leadership of the Director of Administration, responsibilities include coordinating a variety of projects, activities, reports, and schedules.


The ideal candidate possesses a strong working knowledge of administrative support utilizing proficient computer skills including the use of databases, spreadsheets, word processing. This position is the first point of contact for many of our Community Engagement customers. Strong communication and organizational skills are essential to be successful in this role.


What Youll Do:

  • Manage travel, transportation, and accommodation arrangements for multiple Executives
  • Process expenses associated with such travel/meeting coordination as required
  • Managing executives calendar, including making appointments and prioritizing the most sensitive matters
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Schedule and attend weekly team and staff meetings as an active participant.
  • Coordinate internal meetings, including setting up team building events, ordering collateral and managing location logistics as required
  • Collaborate with various staff and departments to administratively support various projects
  • Develop and sustain a level of professionalism among staff and clientele
  • Participate in other projects as assigned


What Youll Need:

  • Bachelors degree or equivalent experience
  • 5-7 years professional administrative experience
  • Meeting and workshop organization experience
  • Strong capability to create documents and Website resources using tools from Microsoft, Adobe and others
  • Advanced knowledge of Microsoft Office suite and Outlook, as well as an aptitude for other software systems
  • Excellent attention to detail
  • Exceptional organizational skills
  • Ability to multitask well
  • Team player with ability to work autonomously
  • Excellent verbal and written communications skills
  • Strong customer focus
  • Outstanding written and verbal communication skills with the ability to cultivate positive working relationships
  • Comfortable operating within an evolving environment
