Innovative Outsourcing is excited to partner with our client, The Joi Group, to assist them in finding an Executive Assistant to join their growing team. If you are an individual that is passionate about health and wellness, this might be a great fit for you!
This position will initially be worked fully onsite at the client's office in Peachtree Corners. After you are well-acclimated to your new team and role, you will have the opportunity to work from home one day per week.
As the Executive Assistant, you will play a crucial role in providing comprehensive administrative support to the CEO & COO, ensuring the smooth and efficient operation of our client's organization. Your exceptional organizational skills, attention to detail, and ability to handle multiple tasks simultaneously will be instrumental in assisting the executives in their day-to-day responsibilities. JOB RESPONSIBILITIES, to include:
- Handle confidential and sensitive information with the utmost discretion and professionalism
- Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements
- Coordinate caterers for internal meetings
- Prepare and edit correspondence, reports, presentations, and other documents as required
- Conduct research and gather information to assist executives in decision-making processes
- Manage and prioritize incoming communications (calls, emails, letters) for executives, ensuring timely responses and appropriate follow-up actions
- Prepare meeting materials, agendas, and minutes, and ensure all relevant parties are well-informed and prepared
- Assist with, learn, and improve the HR Processes for managing the Online Job Platforms, organizing and screening resumes and providing reports, creating rejection letters via the online job platform, scheduling interviews via phone calls & calendar invites, new hire paperwork, welcome packets, and new employee onboarding
- Coordinate and organize internal and external events, conferences, and meetings
- Maintain an organized filing system, both physically and electronically, ensuring easy access to essential documents and information
- Proactively identify areas where support is needed and take initiative to assist executives in optimizing their productivity
- Undertake special projects and assignments as assigned by executives, demonstrating creativity and problem-solving skills
- Keep all protected health information (PHI) confidential and abide by HIPAA guidelines for the release and disclosure of any PHI
CANDIDATE REQUIREMENTS
- Exceptional organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment
- Excellent verbal and written communication skills, including strong editing and proofreading abilities
- Proficiency in using Microsoft Office software, including MS Office 365 Suite (Word, Excel, PowerPoint, Outlook)
- Strong attention to detail and accuracy in all aspects of work
- Ability to handle sensitive and confidential information with integrity and discretion
- Outstanding interpersonal skills with the ability to build relationships and collaborate effectively with individuals at all levels
- Resourcefulness, adaptability, and a proactive approach to problem-solving
- Ability to work independently, take initiative, and anticipate needs
- Flexibility to adjust work hours and availability to accommodate executives' schedules, if required
Compensation: Salary of $75,000 plus health insurance, PTO and the opportunity for an annual bonus. A 401k plan is in the works for 2025.
