Position Overview

As Executive Assistant, you will play a critical role in supporting the CEO by managing day-to-day operations and ensuring that they are equipped to focus on the agency’s most impactful and high-priority initiatives. You will act as a key liaison between the CEO, internal teams, and external stakeholders, while maintaining confidentiality and handling multiple tasks with discretion and efficiency. You will work at the center of the organization, helping the CEO stay organized, informed, and prepared to lead A-B toward its vision of equity and inclusion.

Responsibilities

Executive Support:
  • Manage the CEO’s calendar, scheduling meetings, travel, and events, prioritizing time-sensitive matters.

  • Coordinate internal and external meetings, ensuring the CEO is fully prepared with relevant materials and briefing documents.

  • Serve as the primary point of contact between the CEO and internal/external stakeholders, including clients, team members, and partners.

  • Draft and manage correspondence on behalf of the CEO, ensuring timely communication and follow-ups.

  • Anticipate the needs of the CEO and proactively manage tasks to maximize their efficiency and productivity.

Project Management:
  • Assist in managing special projects, ensuring deadlines and deliverables are met.

  • Collaborate with senior leadership and team members to support organizational goals and initiatives.

  • Track progress on key initiatives, maintaining accountability across teams and departments.

Administrative Tasks:
  • Prepare documents, reports, and presentations for internal and external meetings.

  • Manage the CEO’s expense reports and budget tracking.

  • Handle travel logistics, including itineraries and accommodations.


Experience:

  • 8+ years of experience providing executive-level support, preferably within a creative agency or dynamic organizational environment.

  • Proven ability to manage complex calendars, multiple priorities, and competing deadlines.

  • Experience managing projects and collaborating with cross-functional teams.


Skills:
  • Exceptional organizational and multitasking abilities.

  • Excellent written and verbal communication skills, with the ability to draft clear, concise emails and reports.

  • High level of discretion and integrity, particularly in handling sensitive information.

  • Proficiency in Google Workspace, Slack and project management tools.
