Position Overview:
We’re seeking a dedicated executive assistant to provide high-level administrative support to the CEO. This role is vital to our operations and directly contributes to the success of the CEO and the organization as a whole.

Responsibilities:

  • Administrative Support:
    Manage emails, draft correspondence, and prepare reports for the CEO.
  • Calendar Management:
    Schedule and coordinate meetings, appointments, and events.
  • Communication Liaison:
    Serve as the primary point of contact between the CEO, employees, and clients.
  • Meeting Assistance:
    Take detailed meeting minutes and follow up on action items.
  • Recruitment Support:
    Assist with hiring processes, including scheduling interviews and onboarding.
  • Travel Coordination:
    Plan, book, and manage travel itineraries and arrangements.
  • Office Management:
    Maintain a clean, organized office and ensure supplies are stocked.
  • Visitor Reception:
    Welcome and assist clients, vendors, and other visitors.
  • Staff Support:
    Train and supervise clerical staff as needed.
  • Event Coordination:
    Organize and execute agency events, including PR launches and internal celebrations.
  • Marketing/PR Assistance:
    Support with press releases, social media, and industry research.
  • Miscellaneous Tasks:
    Handle ad hoc requests and personal errands for the CEO.

Qualifications:

  • Relevant Experience:
    Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Organizational Skills:
    Strong ability to manage time, prioritize tasks, and keep things running smoothly.
  • Multitasking and Prioritization:
    Comfortable managing multiple projects in a fast-paced environment.
  • Attention to Detail:
    A meticulous approach to tasks, ensuring accuracy and thoroughness.
  • Adaptability:
    Flexible and resourceful when handling unexpected challenges.
