OBJECTIVE:

Executive Assistant (MFB) Objective

To provide executive support for the Chief Operating Officer (COO) of Michigan Farm Bureau (MFB). Handles a wide range of administrative and support tasks which may be highly confidential. Independently initiates and implements processes to manage projects, information, and people. Manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. Conducts research and information gathering on behalf of the COO and prepares summaries and reports.

RESPONSIBILITIES:

Executive Assistant (MFB) Responsibilities

Effectively organize and complete the day-to-day administrative clerical duties of the executive office, including handling routine correspondence, answering telephones, filing, setting up meetings, processing bills, invoicing and expense reports, handling of confidential material, preparing cross-company information memorandums, and planning and setting priorities in the most productive manner.

Process the Chief Operating Officers office budgets and expense reports, and pay office bills accurately and on a timely basis. Process and record all expenses incurred.

Properly screen and manage visitors, mail and telephone communications directed to the Chief Operating Officer and to the Chief Financial Officer/Treasurer.

Take minutes in the Chief Operating Officers weekly division directors' meeting.

Manage accurately the COO and CFOs schedule and calendar for the purpose of effective and productive time management. Such management would include setup for meetings as necessary, travel arrangements, and pertinent communication regarding such appointments.

Maintain accurate and accessible filing and record keeping system for the Chief Operating Officers business and correspondence.

QUALIFICATIONS:

Executive Assistant (MFB) Qualifications

Required

Associates degree required, Bachelors degree preferred

Three to five years experience as an administrative assistant or executive assistant or similar project management skill experience.

Proficient in Microsoft Office Suite

Keyboard speed of 60-65 wpm.
