Job Overview:
We are seeking a highly organized, proactive, and adaptable Executive & Personal Assistant to support our executive team and provide personal assistance to ensure efficient operations in both professional and personal aspects. This role requires a high level of confidentiality, professionalism, and flexibility, as you will be assisting with diverse tasks from business operations to personal matters. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities:
Executive Support:
• Manage complex calendars and schedules, coordinate meetings, appointments, and events across different time zones.
• Prepare and organize documents, presentations, and reports for meetings and special projects.
• Coordinate travel arrangements, including booking flights, accommodations, and ground transportation, and prepare itineraries.
• Serve as a primary point of contact for internal and external communications on behalf of the executive team, maintaining a professional and courteous demeanor.
• Conduct research, compile data, and prepare documents for review by executives.
• Track and follow up on ongoing projects and tasks, ensuring deadlines are met and priorities are aligned with executive goals.
• Oversee and manage certain administrative tasks and office needs as required.
Personal Assistance:
• Provide personal support to the executive, including handling personal errands, managing household appointments, and coordinating family events.
• Assist in managing the executive’s personal schedule, including healthcare appointments, social engagements, and personal commitments.
• Handle travel and accommodation arrangements for family or guests as needed.
• Coordinate with household staff and service providers to ensure smooth functioning of the executive’s personal affairs.
• Manage and organize personal financial records, including expense tracking, invoicing, and bill payments.
Qualifications:
• Proven experience as an Executive Assistant, Personal Assistant, or in a similar role, preferably supporting C-level executives.
• Exceptional organizational skills, attention to detail, and the ability to multitask effectively.
• Strong interpersonal and communication skills, with the ability to handle sensitive information with discretion.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software; experience with scheduling and project management tools is a plus.
• Ability to anticipate needs, think critically, and offer solutions to problems proactively.
• Flexibility to work outside standard office hours as needed to accommodate executive’s schedule and travel requirements.
Preferred Skills:
• Experience in managing high-profile executives and familiarity with corporate structures.
• Familiarity with personal and corporate finance management.
• Strong problem-solving abilities and a proactive approach to supporting both business and personal aspects.
