About the Role: We are looking for a seasoned Executive Assistant with a background in engineering to support two executives in the Engineering department. In this role, you will play a crucial part in managing complex schedules, driving business priorities, and enhancing team collaboration. Your ability to manage through change and growth, while maintaining exceptional organizational standards, will be key to your success. What You Will Do: Calendar Management: Proactively and strategically manage complex calendars, understanding business priorities to keep schedules organized and optimized. Meeting Support: Attend select internal meetings to capture and distribute notes, key takeaways, action items, and deliverables. Track and follow-up on deadlines to ensure timely completion of projects. Documentation: Prepare presentation materials and other documents using Google Suite and other tools for internal and external meetings. External Meetings: Manage and track complex external meetings, including follow-ups and action items. Ensure all relevant information is organized and accessible. Information Synthesis: Convert verbal and written communications into actionable notes, tasks, and deliverables. Direct follow-up to appropriate team members as needed. Background Preparation: Gather and prepare information for discussions and meetings to ensure thorough and informed conversations. Project Management: Assist with ad-hoc tasks and projects, collaborating with cross-functional teams to prioritize and achieve business objectives. Event Coordination: Plan and coordinate logistics for team meetings, all-hands meetings, town halls, and other events. Central Contact: Act as the main point of contact for department activities, including team meetings, off-sites, and social events. Travel & Expense Management: Arrange domestic and international travel and process travel expense reports. Maintain organizational charts and email distribution lists. What You Will Bring: Bachelor's degree required. Minimum of 7 years of experience as an executive assistant, with a preference for candidates with a background in engineering. Exceptional interpersonal skills to drive alignment and ensure execution accountability across teams. Comfortable working across US and international time zones. Strong organizational skills with a keen eye for detail. Proven ability to work independently and manage multiple priorities in a dynamic environment. Analytical skills and problem-solving ability to address diverse issues effectively. This position has an annual estimated salary of $99,700- $131,760, an annual bonus, and a competitive equity package.
