The Executive Assistant/Office Manager will be based out of our downtown Houston office at The Ion. Most of the responsibilities of this role will be supporting two executives: Cognite's Chief Revenue Officer (CRO) and our Americas (AMER) President, including traveling with them to support their events, as needed. Your remaining time will be spent supporting the local Houston office with general office admin and management. Cognite operates in a hybrid work environment and this role is expected to be primarily onsite 4-5 days per week, with some occasional flexibility for remote work. What You'll Do: Executive Support: Responsible for all aspects of Administrative support of the CRO (located in Boston) and Americas (AMER) President (located in Houston), as well as helping cover for other EAs/Office Managers as/when necessary. Duties to support these executives include: Meeting Coordination and Calendar Management: Coordinate and manage calendars and meetings including team meetings, 1:1s, customer and partner meetings, networking during travel, etc. Off-site Meeting Planning and Management: Plan and manage meetings and events for the Global Revenue team and for the Americas Leadership, including traveling to events to support the functions in person. Travel Management: Coordinate and manage domestic and international travel arrangements for CRO and AMER President. Prepare expense reports for the CRO and President Travel and Schedule Flexibility: As the CRO is a global role, with team-members worldwide, the ability to occasionally attend early morning meetings (7AM Central), is required Travel with CRO and/or President to key events, to provide onsite administrative support, as needed. Estimated travel 2-4 days per month plus one week per quarter Other Executive support, as requested Office management: Responsible for all aspects of office management and administrative support of the Houston office. Ordering, maintaining, and restocking office supplies, snacks, & drinks Ensure and oversee the cleanliness and organization of the Houston office space including kitchen, meeting rooms, and common space areas Office Decorations, seasonally Support Houston location for AMER meetings Coordinate with IT (located in Austin) for all employee equipment needs Present onsite to support welcoming new hires for their onboarding and providing them their equipment, and an office orientation/tour Receive and distribute mail and other deliveries Liaison with building management Collaborate with Houston Office Manager on employee access - building access / badges / parking / gym, etc. Special projects and other responsibilities, as assigned Who You Are Bachelor's degree preferred 3 years of work experience supporting executive level management Experience with online expense reporting (we use Expensify) Proficient in GSuite (GMail, Sheets, Docs, Slides and Forms) Proficient with Slack Experience with online and hybrid meeting management (Google Meet, MS Teams, Slack Huddles, Zoom, etc) Experience working in a high-tech startup/scale-up environment is preferred Strong communication skills (verbal and written) Detail-oriented and highly organized Able to work collaboratively in a fast-paced, team environment Self-starter who can manage multiple projects and meet deadlines Able to work well under pressure Flexible Able to exercise good judgment and discretion with confidential or sensitive tasks 15-20% Travel required; mostly domestic, occasional international travel may be required.
