Job Summary
The Executive Assistant is responsible for providing high-level administrative and clerical support to an assigned executive(s) at the executive level (CEO, COO, CFO, etc.). May also perform duties in support of the Board of Directors as assigned.
Essential Responsibilities
- ls responsible for supporting the day-to-day work and operations of his/her assigned executive(s) including but not limited to the following essential functions:
- Develops, compiles and maintains informational and analytical reports on various functions and operations throughout the Company.
- Be responsible for heavy project support calendar management, requiring interaction with both managers and other employees, internal and external entities including, but not limited to consultants and vendors.
- Coordinates a variety of complex executive meetings on behalf of the assigned executive(s) and/or members of the Board of Directors.
- Assists with the development of presentation materials, informational documents and other similar materials.
- Respond to phone, e-mail and other requests on behalf of the assigned executive(s) and directing all inquiries to the appropriate executive, department, or specific personnel.
- Review and summarize a variety of reports and documents; prepare background documents and outgoing mail as necessary.
- Maintain master and executive meeting calendars; maintain and update databases as necessary; may book travel and hotel arrangements as necessary.
- Manages retention policy.
- Manages special projects as necessary.
- Oversight of office/facilities for security and assets.
- Performs general office duties including word processing, spreadsheets, filing, etc.
- Supports Key Groups and Dental Offices on as needed basis
- May assist in the preparation of materials for the Board of Directors.
- Performs any and all additional duties as requested and directed for this position. (Note: duties, responsibilities and performance and expectations may change at the discretion of the Company.)
Basic Qualifications
Experience
- Minimum of 5 years of related experience
Education
- High school diploma or equivalent
License, Certification, Registration
- N/A
Additional Requirements
- Strong and in-depth knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
- Strong customer service techniques and approaches; strong project management principles
- Knowledge of overall business operations to support the operation and performance of assigned executive(s).
- Strong communication, analytical, influencing and problem resolution techniques.
- Effectively utilizing skills and other resources to address executive administrative needs as applicable.
- Excellent project support skills, including the coordination and direct support of complex executive and Board of Directors meetings.
- Both adherence to and support of HIPAA, PHI, regulatory compliance and principles of privacy.
- Maintains a high level of integrity and appropriate confidentiality in all activities and efforts.
- Supporting the enterprise in approach and action as an “owner” in an ESOP Company.
Position Details
- Primary Location: Seattle, Washington
- Job Schedule: Full time
- Scheduled Weekly Hours: 40
- Shift: Monday – Friday; 8:00 am to 5:00 pm
- Travel: Yes, less than 50%
