REPORTS TO: CFO

POSITION SUMMARY

The Executive Assistant will be responsible for providing day-to-day diversified administrative tasks to support the senior leaders.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Provides high-level administrative support and assistance to senior executives and/or other assigned leadership staff.
  • Attend various meetings throughout the organization with the CFO, taking notes, running the meeting, and/or assisting in the overall facilitation of the meeting.
  • Ensure the Chief of Staff and the company are running and communicating effectively.
  • Manages the executives’ calendar including making appointments and prioritizing sensitive matters.
  • Retrieves information as requested from emails, minutes, and other related documents; prepares written summaries of data when needed.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Provides information by answering questions and requests.
  • Anticipate the needs of others to ensure their seamless and positive experience.
  • Make travel arrangements on the Navan website to book flights, cars, and hotel reservations.
  • Help executive with monitoring and approving direct reports travel, reimbursements, etc. by approving, denying, and getting in on time to accounting.
  • Act as the point of contact for internal and external clients.
  • Back-up reception and other assistants when needed.

MINIMUM SKILLS AND ABILITIES

  • Excellent verbal and written communication skills
  • In-depth understanding of confidentiality
  • Project management skills: information gathering, monitoring deadlines, communicating cross-functionally
  • Ability to retain information quickly
  • Highly organized and proactive; ability to anticipate a need.
  • Proficient with Microsoft Office Suite or related software.

PREFERRED QUALIFICATIONS

  • Associate or bachelor’s degree in business administration or a related field.
  • At least 5-7 years of C-Suite Administrative experience.
  • Notary certification is a plus, not required.
