About the Role:
Provide confidential administrative support for Legal Department by overseeing and maintaining online and physical contract databases, invoice processing, preparing reports, and scheduling and arranging for meetings.
- Serve as primary point of contact with accounts receivable departments at external law firms and vendors and manage coding, internal approval and processing of third-party invoices.
- Generate and deliver reports on open and paid invoices.
- Prepare travel & expense reports for legal team members.
- Review key contract terms and maintain internal trackers.
- Maintain online and physical contract databases and manage other filing needs.
- Prepare and submit business license and permit applications and renewals.
- Work with other members of the legal team on maintaining intellectual property databases.
- Assist with preparing and submitting intellectual property registrations.
- Open, route and prioritize mail.
- Work with legal team members, as needed, on managing calendars, scheduling meetings and/or travel requirements.
- Perform general administrative tasks and ongoing projects and initiatives as needed, supporting both in-office and remote team members.
- Generally, 3+ years of relevant work experience.
- Knowledge of and proficiency with MS Office products, including Word, Excel, PowerPoint and Outlook
- Has developed specialized skills or is multi-skilled through job-related training and on-the-job experience
- Responsibilities are accomplished within established procedures/standards
- Works autonomously within established procedures, processes, and practices
- Completes work with a limited degree of supervision
- Exceptional interpersonal skills and professionalism to communicate with all levels of management and staff.
- Strong oral and written communication skills.
- Excellent organizational and follow-up skills with attention to detail.
- Ability to meet deadlines and handle multiple priorities.
- Ability to work independently and as part of a team.
- Experience and proven track record of handling sensitive and confidential information discretely.
