Position Summary:
Renovo is looking to add Executive Admin (EA) to support the Renovo Executive team. The Executive Admin is responsible to drive efficiency and effectiveness throughout the day. This is a critical role, which will be privy to the overall operations of the company and directly/ indirectly work with the Management team at Renovo. The ideal individual will have the ability to exercise good judgment in a variety of situations and the ability to maintain a realistic balance among multiple priorities while helping Renovo meet their commitments and stay organized. The ideal candidate will be a self-starter and someone who functions well in a fast-paced, team-oriented environment. This role will report to the Chief Human Resources Officer.
Responsibilities:
• Complete a broad variety of administrative tasks including managing an active calendar of appointments; completing expense reports; managing mail & deliveries, correspondence that is occasionally confidential; Managing inventory and purchasing office supplies, alongside other administrative office duties.
• Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
• Communicate directly, and on behalf of, the ELT team on a range of topics/needs.
• Plan and execute Renovo team events (offsite and onsite), meetings, all team Town Halls, prepare agenda and related activities, partner with other departments/stakeholders to roll out events.
• Assist with and/or lead and manage Employee engagement calendar and related activities.
• Prepare presentations, supporting documents, research, and other materials.
• Arrange travel (air, hotel, transportation, and dining reservations) as needed for all team members and visitors of Renovo.
• Take meeting minutes and communicate takeaways & hold teams accountable for follow up.
• Create and edit documents, spreadsheets, and presentations.
• Function as an extension of the ELT team dealing with colleagues and clients in the utmost professional manner
• Other duties as assigned.
Ideal Candidate:
• Bachelor’s degree and/or related experience of 5+ years of office management and/or executive assistant.
• Must be in surrounding Chicagoland area. Hybrid office schedule (3-4 days in the office)
• Experience with event planning and budget management
• Entrepreneurial spirit, proactive and strong ability to anticipate needs.
• Ability to foster and cultivate relationships / thoughtful and forward thinking.
• Strong organizational, project management and critical thinking skills with impeccable multi-tasking abilities
• Excellent verbal and written communication skills
• Ability to exercise discretion when it comes to confidential information.
• Experienced in Microsoft Office products.
