Job Summary:
The Executive Assistant, Sales is responsible for providing support to Logically’s Chief Revenue Officer and top-performing sales representatives to ensure seamless execution of sales operations. This dual-role position will focus on administrative tasks, project management for product shipments and deployments, and follow-up on financial processes, such as tracking invoices and overdue payments for some of our top customers. This individual will play a vital role in driving sales efficiency, ensuring customer satisfaction, and supporting overall revenue growth. This role will be cross functional in nature, holding responsibility in managing special projects and Executive Assistant duties such as calendar management, travel coordination, and general administration duties. The executive assistant also reviews prioritizes, directs, and delegates a wide variety of complex and confidential requests that are presented to the sales executives for consideration. This role will assist in managing multiple sales executives' schedules, coordinating presentations, meetings, along with completing business-related tasks, such as creating reports and transcribing meetings as well as other organizational tasks.
Duties and Responsibilities:
- Salesforce Administration:
- Manage and update Salesforce, ensuring accurate and up-to-date sales data.
- Support the sales team by managing reporting, quotes, and customer requests
- Project Management:
- Coordinate product shipments and deployment schedules with internal and external teams.
- Track project milestones and deadlines to ensure timely delivery of products and services.
- Serve as a liaison between sales, logistics, and technical teams to resolve project-related issues.
- Financial Tracking:
- Monitor and track invoices to ensure accurate and timely payments.
- Follow up on past-due payments with customers in a professional manner.
- Work with the finance team to reconcile billing discrepancies.
- Customer Support:
- Act as the point of contact for customer inquiries related to orders, deliveries, and billing.
- Provide updates to customers on order status and project timelines.
- Administrative Support:
- Organize and maintain sales documents, agreements, and customer records.
- Schedule and prepare materials for sales meetings and presentations.
- Handle correspondence and communications on behalf of sales leadership.
- Process Improvement:
- Identify and implement improvements to sales processes and workflows.
- Support the team in adopting tools and technologies that enhance productivity.
- Manage and prioritize complex calendars with strong attention to accuracy, timeliness, and alignment to priorities and commitments
- Attend executive-level meetings, transcribe and allocate meeting notes
- Assist in preparation and editing of business materials and other key presentation requirements for internal and external meetings
- Able to thrive in a fast-paced environment. Ability to prioritize and manage multiple projects at one time
- Respond to a heavy volume of emails in a timely manner
- Uphold a strict level of confidentiality
- Assist other members of the Sales Executive Team with various tasks as they arise
Qualifications:
- Associates degree in a related field preferred
- 2+ years of proven experience working on high-priority complex projects
- 2+ years serving as an Executive Assistant to C level executive
- Advanced knowledge of Microsoft Office/O365, Calendars, MS Teams, etc.
- Advanced written and verbal communication skills, including flawless grammar and a rich vocabulary
- Aptitude to work independently without significant instruction to attain results with a high degree of accuracy and attention to detail
- Ability to prioritize multiple projects at once, including solid project-management and problem-solving skills, while following up with executives in a timely manner
- Ability to keep sensitive information confidential
- Strong technical aptitude and excellent communication skills, both oral and written
- Analytical ability to effectively understand and identify business needs, goals, and objectives
- Ability to work in a team environment and demonstrate superior leadership, presentation, and planning ability, as well as verbal and written communication skills
- Business acumen; translating business requirements into related solutions
- Flexible and able to remain calm in times of stress while managing multiple priorities at one time
