Position Overview:
We are seeking a highly organized and proactive Executive Assistant to support the Regional Director in daily operations, administrative tasks, and sales support functions. This role is crucial to ensuring the Regional Director's time is optimized, and all processes run smoothly, enabling effective leadership and business development activities.
Key Responsibilities:
Executive Support:
- Manage the Regional Director’s calendar, schedule meetings, and coordinate appointments.
- Screen and prioritize emails, calls, and other correspondence.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Organize travel arrangements, including flights, accommodations, and itineraries.
- Handle confidential information with discretion.
Sales Support:
- Assist with the preparation of quotes, proposals, and presentations.
- Maintain and update the CRM system, ensuring data accuracy and timely updates.
- Track sales leads, follow up on inquiries, and manage the sales pipeline.
- Coordinate with the sales team to provide necessary administrative support.
- Generate sales reports and analytics for review by the Regional Director.
Administrative Duties:
- Oversee general office management tasks as needed.
- Maintain filing systems, ensuring documents are organized and easily accessible.
- Order office supplies and liaise with vendors or service providers.
- Support event planning for team meetings, client visits, or conferences.
Qualifications and Skills:
- Proven experience in an executive assistant or similar role.
- Strong organizational and time management skills with a keen attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM tools.
- Ability to handle multiple priorities and work under pressure in a fast-paced environment.
- Professional demeanor and a proactive attitude.
Preferred Experience:
- Previous experience in sales support or a related field is an advantage.
