Executive Coordinator
Position Summary
The Executive Administrative Coordinator provides comprehensive administrative and coordinator support to the key executive responsible for sales, marketing, operations, and personnel at a local electrical contractor and lighting supply company. This role is crucial in ensuring the smooth and efficient operation of the executive's duties, coordinating activities, facilitating communication, as well as assist project proposals and coordination and the coordination of marketing, sales and personnel projects within the organization.
Location: Wheat Ridge, CO, occasional travel in local Denver
Shift: Days M-F 7-4 or 8-5
Type: Temp to hire
Pay: $55-$65K per year
Key Responsibilities
Sales and Marketing Support
- Help manage and grow the company’s social media presence.
- Maintain and update the company’s marketing materials and digital content.
- Support the development and execution of marketing campaigns, including social media, email marketing, and content creation.
- Conduct market research and compile data to support sales and marketing strategies and initiatives.
- Assist with the creation and distribution of marketing collateral and promotional materials.
Project Management Support
- Assist in the planning, execution, and monitoring of projects across sales, marketing, operations, and personnel.
- Assist in project proposals and coordination.
- Track project progress, manage timelines, and ensure deadlines are met.
- Provide logistical support for company events, trade shows, and promotional activities.
- Perform project mgmt. coordinator duties.
Operations and Human Resources Support
- Oversee the organization and maintenance of filing systems and records.
- Ensure a well-organized, efficient, and professional work environment.
- Maintain office supplies and marketing materials inventory.
- Maintain and order Field Employee’s work supplies, including shirts and safety materials.
- Assist with HR-related tasks such as coordinating training sessions, assisting with onboarding and documentation.
Administrative Support
- Prepare quotes, as well as edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports for consideration and presentation by the executive.
- Handle confidential information with discretion and maintain the highest level of professionalism.
- Assist in the preparation of reports, proposals, and marketing materials.
- Possibly manage and maintain executive calendars, including scheduling appointments, meetings, and travel arrangements.
Communication and Coordination Support
- Screen and direct phone calls and emails, ensuring prompt and effective communication.
- Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- Minimum of 3-4 years of experience in an administrative or coordinator role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Very proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of professionalism and discretion in handling sensitive and confidential information.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Detail-oriented with a high degree of accuracy.
- Proactive and resourceful problem-solver.
- Positive attitude and strong interpersonal skills.
- Flexible and adaptable to changing priorities and demands.
