Salary: $87,000 to $105,000 (depending on several factors)

Position Summary:

 

A leading property management and commercial real estate investment company based in Calabasas seeks a highly skilled and experienced Executive Assistant to support its CEO. This company specializes in managing a diverse portfolio of commercial properties across the US, delivering exceptional service to tenants and vendors. The company emphasizes excellence, reliability, and professionalism, making it a respected name in the commercial real estate industry.


This role is an incredible opportunity for a seasoned Executive Assistant with a strong background in supporting C-level executives. The ideal candidate will be resourceful, adaptable, and capable of managing a high-paced, complex environment with discretion and professionalism. They will work full-time from the corporate office in Calabasas, with a moderate amount of travel required. Commercial real estate experience is preferred but not mandatory.


Key Responsibilities:

 

• Executive Support: Provide high-level administrative support to the CEO, including managing complex calendars, scheduling meetings, and coordinating travel arrangements. Anticipate the needs of the CEO and proactively manage all tasks to ensure smooth daily operations.

 

• Communication Management: Act as a primary point of contact for internal and external communications. Draft and manage correspondence, screen calls and emails, and ensure timely responses to important messages.

 

• Meeting Preparation: Organize and prepare materials for executive meetings, including agendas, presentations, and detailed notes. Attend key meetings to take minutes and track action items, following up on deliverables as needed.

 

• Travel Coordination: Arrange both domestic and international travel itineraries, including accommodations, transportation, and meetings. Be available to adjust travel plans as needed and ensure a smooth experience during all trips.

 

• Project Management: Assist in managing special projects as assigned by the CEO, from planning and execution to follow-up and status reporting. This may include overseeing specific administrative or operational projects related to real estate or corporate initiatives.

 

• Confidentiality and Discretion: Handle all business information with the utmost confidentiality. Given the sensitive nature of executive operations, professionalism and discretion are paramount.

 

• Expense Management: Track, report, and reconcile the CEO’s expenses in collaboration with our Accounting Department. Prepare reports as needed and ensure proper documentation and compliance with corporate policies.

 

• Office Coordination: Maintain a well-organized office environment for the CEO. Ensure that supplies, materials, and resources are available and manage relationships with external vendors and service providers as needed.


Preferred Qualifications:

 

• 7+ years of experience as an Executive Assistant, with a minimum of 3 years supporting a C-level executive.

 

• Strong organizational and multitasking skills, with exceptional attention to detail.

 

• Excellent written and verbal communication skills.

 

• Proficiency in Google Suite.

 

• Ability to work effectively both independently and as part of a team.

 

• Experience in the commercial real estate sector is a plus, but not required.

 

• Flexibility to travel.
