Overview: Our client, a social impact film studio in Boulder, CO, is seeking an experienced Executive Assistant to support the Co-Founder and provide administrative and project management support using various tools and resources to streamline activities, communications, and projects, facilitating effective decision-making at all levels. The Executive Assistant will offer strategy and solutions to support the Co-Founder’s efficiency and focus as needed, across creative projects and operational areas of work. They will also be also responsible for managing personal and professional calendars, coordinating meetings, trips, and event logistics. An ideal candidate is a strategic thinker and planner, who is flexible and highly self-motivated, meticulous about details, and can manage multiple priorities and relationships. They will have excellent writing, organization, and communication skills, and lead the work through an equity lens.
Schedule:
  • Monday – Friday, traditional working hours with some flexibility
  • Remote position – must live in the greater Boulder/Denver/Longmont/Louisville area
  • Occasionally expected to be available during off hours and/or travel to attend events on nights or weekends
Job Duties:
  • Oversee and manage email, and respond to all general correspondence via email and phone
  • Maintain a clear understanding of the Co-Founder landscape of work and projects
  • Partner with Co-Founder to set organizational goals and critical functions by assisting in schedule prioritization and processes to help stay current on ongoing projects
  • Oversee Co-Founder’s multiple calendars, managing the daily schedule, including scheduling/coordinating trips, meetings, conference calls, and related events, surfacing questions, getting aligned on tradeoffs, ensuring enough space/travel time between meetings, holding space for review blocks, etc. context about the stakeholders and meeting objective(s)
  • Inform attendees/participants of meeting dates, times, and places, reserve meeting space, provide audio/visual and other ancillary equipment/materials, as required, and hospitality services when appropriate
  • Attend and produce meeting minutes and other written documentation as needed, and attend select internal or external meetings on occasion, as a proxy, to collect and relay relevant information back to the Co-Founder with recommendations for next steps
  • Coordinate air travel, ground transportation, and hotel accommodations
  • Assist with special projects as directed – including, but not limited to, developing presentation decks and reporting on key metrics
  • Compile and distribute all necessary information for donor, investor, and key stakeholder meetings, including preparation materials, agendas, and presentations
  • Provide key research, context, background information, talking points, and logistical support for meetings; prepare and brief as needed
  • Create “look books” for networking reference
  • As needed, partner to facilitate meetings, including preparing agendas and identifying discussion topics
  • Collaborate with various team members and key stakeholders on the creation of communications and other key written deliverables through careful editing, proofing, and document collation
  • Exercise exceptional discretion with confidential information at all levels
  • Identify opportunities to expand and refine administrative support need
  • Other tasks/duties as assigned
Requirements:
  • 5 + years of professional experience in an Executive Assistant position supporting leadership
  • Demonstrated project management and preparing presentation experience
  • Strong organization, written, and problem-solving skills
  • Ability to take both verbal and written instruction and engage in cross-functional team communication
  • Ability to multi-task and prioritize
  • Highly proficient in Google Drive, Apple Suite products, Microsoft Office Suite (Word, Excel, and PowerPoint)
  • Technologically savvy with the ability to learn Adobe, CRM database, Dropbox, Slack, and Signal
  • Ability to work effectively, collaboratively, and respectfully with a variety of people in a team environment as well as independently with little supervision
  • Ability to communicate effectively with a wide range of internal and external stakeholders
  • Excellent listening and troubleshooting skills
