A busy Personal Injury Firm is seeking an experienced Executive Assistant to work onsite in Nashville.

The Executive Assistant will assist the lead attorney by providing clerical and research support services, Organizing his schedule, Handling mail, and importing New Clients into Case Management Software. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a solid understanding of legal terminology and procedures.

Key Responsibilities:

  • Provide administrative support to lead attorneys, including calendar management, appointment scheduling, and travel arrangements.
  • Draft, proofread, and format legal documents, correspondence, and reports.
  • Manage and organize case files, ensuring that all documentation is current and easily accessible.
  • Conduct legal research and gather relevant information as directed by attorneys.
  • Assist with billing and invoicing, tracking billable hours, and preparing monthly statements.
  • Maintain confidentiality of sensitive information and client communications.
  • Communicate effectively with clients, vendors, and court personnel as needed
  • Plan and coordinate meetings, events, and conferences for the legal team.
  • Stay updated on legal and regulatory changes affecting the firm or its clients.
  • Perform other related duties as assigned.

Qualifications

  • Minimum 3-5 years of experience as a legal executive assistant in a law firm or legal department.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal management software.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management skills with the ability to prioritize tasks.
  • Attention to detail and a high level of accuracy in work.
  • Ability to handle confidential information with discretion.
  • Familiarity with legal terminology and procedures is essential.
