Here's what you'll be doing:

  • Day-to-Day Management: Manage the executive's daily administrative tasks, ensuring smooth operations.
  • Executive Management: Handle all daily details such as scheduling, travel, meeting prep, events, and general office management.
  • System Improvement: Improve and implement new systems and processes to enhance efficiency.
  • Communication: Handle all communication on behalf of the executive, including calls, emails, social media, media requests, team questions, and meeting follow-ups.
  • Event Planning: Plan and organize events such as meetings, client and staff events, training events, business lunches/dinners, etc.
  • Information Hub: Act as the information hub for the team, preparing information and research for the executive.
  • Meeting Management: Take meeting minutes and follow up on action items, prioritizing items that need the executive's attention.
  • Personal Assistant Duties: Manage the schedule, household purchases, family travel, medical appointments, and personal events. Establish and maintain relationships with service providers, schedule medical appointments, organize personal events, coordinate household maintenance, manage automobile servicing and maintenance, plan family vacations, and manage travel arrangements. Assist with personal activities such as creating playlists, personal shopping, gifts, leisure activities, and managing personal social media accounts.
  • Health/Longevity Support: Assist with food planning, exercise support, and mind/spirit activities.
  • Financial Management: Manage expense reporting to the COO/CFO.
  • Research and Reporting: Conduct research, analyze data, and prepare daily, monthly, quarterly, and annual reports and documents in conjunction with the COO/CFO.
  • Marketing Management: Manage social media, website, and online reviews.

What We’re Looking For:

  • Experience: Preferably 3+ years of experience as an executive assistant, with small business experience being highly valued. Real estate industry experience is not required but is a plus.
  • Skills: Outstanding communication, interpersonal, organizational, and time-management skills.
  • Attention to Detail: Meticulous and resourceful, with a proactive problem-solving approach.
  • Flexibility: Ability to adapt to flexible hours and be available as needed.
  • Location: Must reside locally in Savannah, GA, to ensure seamless integration into our team and operations.
