We are seeking a detail-oriented and proactive Executive Assistant to provide direct support to our CEO. This is a great opportunity for someone with some experience who wants to contribute to a dynamic and growing company while advancing their career.

Position Overview:As the Executive Assistant to the CEO, you will play a critical role in ensuring the CEO's day-to-day operations run smoothly. You’ll handle administrative tasks, manage the CEO’s schedule, and act as a trusted partner in maintaining organization and focus helping the CEO both professionally and personally, including communication to our CEO’s spouse for events and information she needs to know. The ideal candidate thrives in a fast-paced environment and has a natural talent for staying organized and anticipating needs.

Key Responsibilities:

  • Manage the CEO's calendar, including scheduling meetings, appointments, and coordinating events.
  • Manage our new podcast guests, including finding guests and inviting them to be on the show, scheduling and arranging for the content and questions.
  • Prepare agendas, presentations, and reports for meetings, ensuring the CEO is well-prepared.
  • Attending meetings with the CEO to take notes and ensure the CEO’s tasks are completed on time.
  • Handle incoming communications for the CEO, including emails, phone calls, and correspondence, ensuring timely follow-ups.
  • Assist with project management by tracking deadlines, organizing tasks, and ensuring progress updates.
  • Coordinate travel arrangements and accommodations for the CEO.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Maintain organized and accessible records, both digital and physical.
  • Provide support for special projects, events, and ad hoc requests as needed.
  • Handle confidential information with discretion and professionalism.

Qualifications:

  • Experience: 1-3 years of experience as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Skills: Exceptional organizational and time management skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable with technology and project management tools.
  • Attributes: Professional, resourceful, and able to work independently. Strong communication skills and the ability to build relationships with stakeholders at all levels.
