BASIC FUNCTION:
The Executive Assistant (EA) will perform administrative and office support activities for the Governor’s Office of Semiconductor Expansion Management and Integration (GO-SEMI), an office of New York State’s Empire State Development (ESD) focusing on growth of the semiconductor industry in NY. The EA will assist the Executive Director in the daily operations of the duties and of the office including but not limited to the structural component of the organization. Duties will include clerical tasks, scheduling and organizing the department’s processes. Provide confidential administrative and clerical support to the Executive Director, and Professional Staff, as required. In addition, the EA may be asked to provide support for its parent organization, Empire State Development.
WORK PERFORMED:
- Assist in the daily activities of the GO-SEMI staff such as travel, correspondence, schedule, phone messages.
- Manage data using various program databases and ensure that project information is accurate in information management systems.
- Provide administrative support to Albany HQ staff or the Finger Lakes Regional office when needed.
- Coordinate with other departments across ESDC and DED as needed to ensure proper handling of paperwork, timely payment of invoices and other policy and procedural tasks as needed.
- Coordinate with the preparation, proofreading, production and distribution of reports, agendas, presentations, and other documents as needed.
- Answer telephones in a professional and courteous manner, take accurate and detailed phone messages, respond to general inquiries and refer callers to the appropriate person or department.
- General administrative/secretarial duties include, but are not limited to typing documents, creating and maintaining file system, scheduling meetings, keeping appointments and calendars, making travel arrangements, making copies, scanning documents, etc.
- Timely and accurately submit travel vouchers and other travel documents for staff as needed.
- Act as a backup administrative support to GO-SEMI staff as needed.
- Continually update Project Tracking System and access databases, as well as maintain hard copy central files.
- Assist GO-SEMI staff with project development.
- Work on special events or projects with the GO-SEMI staff and others as assigned.
- Supports events and activities assigned.
MINIMUM REQUIREMENTS:
Education Level Required: High School graduate (Or GED). Associate’s degree preferred.
Relevant Experience required: A minimum of five (5) years of administrative experience required.
Knowledge Required: Knowledge of social media sites such as LinkedIn, accurate typing skills, highly efficient and organized with good judgement skills. Highly proficient with Adobe PDF, Microsoft Office, including Outlook, Dynamics, Word, PPT, Excel, and video conferencing systems including Zoom, Teams and Webex.
ALTERNATE MINIMUM REQUIREMENTS FOR INTERNAL CANDIDATES: A minimum of 5 years of satisfactory service in another (relevant) position with Empire State Development. Up to 2 years of accredited post-secondary education, or service in the U.S. military may be substituted for service at ESD.
APPROXIMATE HIRING SALARY: $50,000 to $57,000 (w/ comprehensive benefits package)
