ABOUT THIS POSITION:
Job Overview:
AccountAbility is seeking a highly organized Executive Assistant, who is adept with international travel support to assist the CEO.
Ideal Candidate:
The ideal candidate for this role will be highly organized, detail-oriented, trustworthy and proactive. They will possess excellent written and verbal communication skills, professionalism, resourcefulness and have previous experience providing executive support.
This role involves working with a dynamic, international team, liaising with the board of directors and internal management, as well as the senior officials of various clients, thought leaders and academic professionals. The candidate will organize and coordinate executive initiatives and a dynamic schedule of international and domestic travel. The candidate must have good judgement and enjoy working within a fast-paced, entrepreneurial environment.
Duties:
- Heavy calendar and email management
- Heavy international and domestic travel management including flight, hotel, transportation
- Expense and budget tracking
- Materials preparation of agenda material and presentations for meetings
- Receive and triage incoming communications from senior staff
- Screen and direct incoming calls
- Light office administration, handling items like office supply and pantry inventory for NY
- Occasional personal tasks for the CEO
- Where needed, schedule and attend meetings on behalf of the CEO, taking notes and recording minutes
- Perform other duties as required
Required Skills/Abilities:
- 5 years of experience in administrative support roles required with at least2 years providing executive-level service
- Associates degree required, Bachelor’s degree preferred
- Strong written and oral communication skills with the ability to communicate professionally within all levels of the organization
- High degree of confidentiality, handling sensitive information with professional and discretion
- Deep familiarity with international travel and related information
- Strong time and project management skills
- Proactive ability to prioritize, plan and carry out responsibilities independently with minimal supervision
- Ability to function well in high-paced and at times stressful situations
- Experience with budget tracking and coordination, preparing and editing presentations
- Highly proficient with Microsoft Office suite, with the ability to learn new or updated software
- Customer service-oriented approach to responding to CEO contacts and staff
