Executive Administrative and Personal Assistant

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude.  The Executive Administrative and Personal Assistant will serve the CEO with all personal and professional administrative needs.  This person will be responsible for overseeing the CEO’s calendar, email, appointments, travel and various events while providing clerical support to include document preparation and review; research, and other general administrative tasks as needed.

The successful candidate is an energetic professional who doesn’t mind wearing multiple hats and working in a fast-paced, high-pressure environment.  Experienced in executive support-related tasks and handling a wide range of administrative/estate management duties; being well organized, flexible, and detail oriented with the ability to work independently to solve problems and anticipate needs. This is a small office, and all employees will be expected to be part of the team.

Administrative Assistant Responsibilities:

  • Handles big and small jobs to make the CEO’s life easier.
  • Providing real-time scheduling support by booking both personal and professional appointments and preventing conflicts.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Creates and manages meetings using Zoom and Microsoft Teams
  • Screening phone calls and routing callers to the appropriate party.
  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Represents CEO by communicating on their behalf and obtaining information, following up on delegated assignments, and knowing when to act and when to refer matters to the CEO.
  • Prepares, organizes, stores, and retrieves project files, and other items.
  • Composes letters and routine correspondence using Microsoft Office programs.
  • Provides administrative support for the office and maintains electronic and hard copy files.
  • Personal errands as needed.
  • Performs other related duties as assigned.

Executive Administrative Assistant Requirements:

Associate’s Degree in a related field.

Prior executive administrative and personal assistant experience.

Excellent computer skills and proficiency in Microsoft Office Software

Attention to detail.

Desire to be proactive and create a positive experience for others.

Job Type: Full-time to include weekends and evenings as needed

No benefits offered at this time.

Salary: $75-100K based on experience and work history
